Job Description for Occupancy Planner:
We seek a US citizen or Green Card holder for a Hybrid role.
This position requires working 3 days in the office, Tuesday, Wednesday, and one other day.
The work shift is from 8 AM to 5 PM.
Key responsibilities include conducting site assessments and surveys to ensure accurate occupancy, furniture, space type, and client data.
Responsibilities:
- Preparing and presenting detailed options to Real Estate leads
- Optimizing space usage for efficiency and functionality
- Analyzing space utilization data to identify opportunities for improvement
- Maintaining compliance with core program standards
- Demonstrating proactive solutioning
- Maintaining a working knowledge of space management systems
- Receiving and processing client move requests
- Participating in planning meetings hosted by clients and key stakeholders
- Creating/planning move phasing documentation
- Preparing/updating move status reports
- Monitoring client and business changes to move scope and/or requirements
- Working with IWMS system management, including floor plan updates and space/move data
- Supporting broader space management projects and initiatives
- Adjusting plans to accommodate change requests
- Ticket management for new hire, space, move, and/or other requests
- Updating/establishing space stacking plans and floor block plans
- Conducting physical space audits to document and validate occupancy attributes
- Developing presentations using Excel analysis of CAFM data
- Maintaining best-in-class space and occupancy data
Qualifications/Skills:
- Minimum two to four years of space planning, design, occupancy planning, or workplace experience in corporate real estate environment
- Background in design, architecture, workplace planning, and strategy desired
- Intermediate to advanced knowledge and experience with Microsoft Office
- Excellent communication skills with ability to coordinate across multiple teams and departments
- Advanced ability to read and understand building drawings and floor plans
- Experience working with CAD or other drafting software
- Experience with space planning software
- Able to multitask and deal with changing priorities and/or requirements
- Strong attention to detail
- Experience with IWMS/space management software
- Willingness to work nights and weekends as required supporting moves
- Excellent customer service and interpersonal relationship skills
Ability to work independently and as part of a team.
