Position Summary:
Works under minimal supervision to review and negotiate contract terms and conditions, agreement renewals, and procurement documents. Develops strategic relationships with and manages key vendors, maintains effective interdepartmental communications, and assists with, prepares, and negotiates RFPs. Lead or act in a liaison capacity between departments, divisions, or outside organizations.
Location - position can be be based in Fort Worth, TX or Canonsburg, PA
Primary Responsibilities:
- Conduct / participate in meetings with internal resources and vendors for new software license and support renewals, data, and services requests associated with Information Technology (IT) and other technology-based products.
- Evaluate vendor proposals and/or statements of work (SOW) associated with Information Technology (IT) and other technology-based products. Negotiate purchases. Manage all related documentation (SOW's, MSA's).
- Participate in new vendor evaluation & risk assessment.
- Liaise with the Legal department to determine when revisions to contracts require Legal input. Work with legal representatives to develop and insert appropriate legal protections in contracts, as warranted.
- Communicate contract issues and explanations to management and facilitate issue resolutions. Represent Company in contract dispute resolution with vendors.
- Oversee the execution of agreements and respond to internal questions/issues.
- Conduct thorough vendor negotiations to secure competitive pricing, ensuring cost-effective procurement while maintaining quality standards. Solicit and evaluate quotes from multiple vendors, analyze pricing structures, and leverage market insights to achieve optimal terms. Establish and maintain strong vendor relationships to facilitate ongoing cost savings, supply chain efficiency, and favorable contract conditions.
- Evaluate and manage renewals for software support, hardware lease, and data subscriptions.
- Ongoing/existing contract management and administration: Identify cost savings and other improvements to be negotiated upon contract renewal. Determine necessity for revisions, amendments or extension of contracts, compliance to contractual obligations, and/or termination.
- Evaluate spending trends - provide visibility and metrics on spend and consumption.
- Manage and respond to software audit or license validation requests from internal and external sources as appropriate.
- Monitor and update (as necessary) the contract lifecycle management system.
- Manage software licenses by identifying and reclaiming unused or underutilized licenses, ensuring compliance with agreements, reducing unnecessary purchases, and optimizing costs through proactive reconciliation and reporting.
- Monitor and audit software licenses and licensing compliance and notifying management of renewals and expiration dates.
Minimum Education: Bachelors degree in IT, business, supply chain, or related field; OR technical diploma; OR High School Diploma with relevant work experience.
Minimum Experience: More than 7 years in IT procurement and/or other related & relevant experience in software asset management, contract negotiations, contract management, vendor relations, etc. Legal experience, with a background in technology contracts, is a plus.
