The Compliance & Billing Coordinator ensures regulatory compliance while managing state registrations, certified payroll reporting, and lien documentation. This role also processes invoices for related party transactions but does not handle external client billing or collections. The position requires strong attention to detail, knowledge of compliance regulations, and the ability to manage multi-state documentation requirements.
Essential Duties & Responsibilities:
- Regulatory Compliance & Certified Payroll
- Prepare and submit certified payroll reports, ensuring compliance with state and federal prevailing wage laws.
- Maintain and track state compliance forms to keep the company in good standing.
- Ensure proper worker classification and prevailing wage compliance for government projects.
- Stay updated on labor compliance laws and integrate changes into company policies.
- State & Lien Compliance
- Oversee Levelset entries for Notice to Owner filings to protect the companys lien rights.
- Manage Release of Liens, ensuring proper documentation and timely submission.
- Establish and maintain state registrations when the company expands into new jurisdictions.
- Billing & Financial Documentation
- Prepare and process invoices for related party transactions (not external client billing).
- Assist in pay application processing for construction projects.
- Maintain organized financial records related to compliance and internal billing.
Qualifications & Skills:
- Strong knowledge of certified payroll regulations (Davis-Bacon Act, prevailing wage laws, etc.).
- Understanding of state compliance regulations for construction-related operations.
- Proficiency in Microsoft Office Suite, accounting software, and payroll compliance platforms (e.g., LCPtracker, Levelset).
- Excellent attention to detail and ability to manage complex documentation.
- Strong organizational and time management skills.
Education & Experience:
- Associate or Bachelors degree in Accounting, Finance, Business Administration, or a related field preferred.
- 2 years of experience in compliance, certified payroll, or construction finance.
- Experience with multi-state compliance and lien processes is a plus.
