Job Summary
The Administrative Service Associate will be the main point of contact for all HVAC Preventative Maintenance needs for the Ranger One-Call division. This role requires excellent communication skills, a positive attitude, and the ability to multitask.
Responsibilities
- Respond to customer requests for PMs services and quotes by scheduling field tech site visits for HVAC inspections and PM services
- Compile initial PM quote site visit data and create PM Pricing Quote to be sent to the customer
- Send out PM quotes to customers for approval
- Load approved PMs into ONE-CALL’s PM tracking and scheduling software - including customer and equipment detail
- Send out PM contracts to customers for all approved PM quotes
- Oversee and maintain the quarterly PM schedule including notifications to customers and coordination with field techs until PM is completed in the field each quarter
- Update PM tracking and scheduling software with all PM site visit results and send out PM findings to customers including any repairs recommended as well as pricing for those repairs (Approved repair quotes will roll over to the normal HVAC administrator to set up and oversee to completion)
- Close off and set up for billings all completed quarterly PMs
- Maintain the setup, billing and closing details for all customer PMs in the customer's work order system
Skills
- Must be proficient with Microsoft Office Suite including Word and Excel
- Must have strong organizational skills, task oriented, and follow through in a timely manner
- Capable of clear verbal, written, and electronic communication
- Personable and professional demeanor, works cooperatively, and customer service oriented
Education/Experience
Prior office experience is preferred. Must be proficient with Microsoft Office Suite including Word, Excel
Position Type/Expected Hours of Work
This is a part-time position, Monday through Friday, 20-25 hours per week. This position will be in the office for the training period, then can transition to a remote role.
Compensation
$18-$20hr
