Job Description
We are seeking a detail-oriented and organized Heavy Haul Administrative Assistant. This role is critical in ensuring our operations remain compliant with all federal, state, and local transportation regulations while also supporting trip execution, permitting, and vehicle management processes. The ideal candidate will possess strong organizational skills and a comprehensive understanding of DOT compliance, permitting, and fleet operations.
- Maintain DOT compliance records and ensure up-to-date knowledge of federal regulations.
- Oversee and manage FMCSA Clearinghouse entries and queries.
- Review and monitor Motor Vehicle Reports (MVRs) for all drivers.
- Prepare and submit annual compliance and safety reports.
- Order and manage OSOW (Oversize/Overweight) permits as required for nationwide travel.
- Manage fleet vehicle licensing, registration, and renewals.

Job Requirements
- High school diploma
- Previous experience in an administrative role, preferably in the mining, construction, or industrial sector.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other relevant software.
- Strong organizational skills with the ability to prioritize tasks effectively.
- Excellent verbal and written communication skills.
- Ability to work independently as well as part of a team in a fast-paced environment.
- Must be dependable and report to work on time
