Description:
Scope of Tasks & Responsibilities
- Establish and maintain relationships with suppliers for purchases including office equipment, office supplies, printing, etc.
- Prepare checks for all accounts’ payable invoices
- Operation of postage meter to ensure mail is ready for pickup daily
- New Hire apparel ordering and distribution of keys
- NAP project, contacting potential donors and minor reporting
- Handle all banking functions per CFO’s guidance.
- Posts customer payments by recording cash, check, and credit card transactions for accounts receivable
- Prepare and balance bank runs per compliance requirements for Dental/ Medical Reception area
- Oversee and support future capital projects, including facilities’ design, construction and on/off site building management.
- Collaborate with CEO and other RHC staff to coordinate and resolve maintenance needs about HVAC, lighting, electrical distribution systems, plumbing, fire safety systems, etc.
- Ensures that periodic and preventive maintenance are appropriately scheduled and accomplished and that emergency troubleshooting and maintenance support are readily available as needed.
- Liaison for vendors including cleaning, pest control, waste management, lawn care, snow removal and other facility needs.
- Coordinating domestic travel, including flight, hotel, and car rental reservations.
- Managing and booking internal meeting rooms
- Assisting CEO with Board Committee minutes & agenda
- Assist CEO with calendaring, scheduling and other task/projects as assigned
- Planning of some in-house or off-site activities of the organization
Other duties as assigned.
Supervision:
No supervisory responsibility
Requirements:Required Education, Certification, Experience and Skill:
- Exceptional computer skills and demonstrated use of Health Center programs coupled with specialization in Microsoft Windows software.
- Excellent oral and written communication skills.
- High School diploma or equivalent; two-year degree preferred
- Math skills in addition, subtraction, multiplication and division
- Ability to work independently and prioritize appropriately the response to needs of multiple staff members
