What are the responsibilities and job description for the MAILROOM CLERK position at Rappahannock?
The Rappahannock Regional Jail is seeking a Mail Clerk to perform intermediate manual work sorting incoming mail for distribution and dispatching outgoing mail for facility and inmate population, and related work as apparent or assigned.
Duties include, but are not limited to :
- Opens, sorts, and distributes mail; performs visual inspection of contents; removes, and documents contraband items, money orders, etc.; delivers non-correspondence items to inmate property for storage or to staff assigned for further evaluation.
- Sorts mail according to destination and type; writes inmate book receipts; stamps date and time of receipt on incoming legal mail; copy and delivers to inmate; files and maintains original documents.
- Ensures appropriate postage is applied to outgoing mail; checks postal machine to verify if additional funds or ink is needed; maintains appropriate postage records; prepares requisition for funding supplies and prepares remittance documentation.
- Distributes and collects outgoing mail; maintains appropriate receipt and property records.
- Answers inquiries pertaining to mail processing for inmates and departments; responds to inquiries from inmate family members regarding mail related issues in accordance to established policy and procedure.
- Prepares necessary documentation related to facility mail operations; maintains proper quantity of postage and related supplies.
- This position requires contact with inmates during mail delivery and driving to the Post Office once a day
- Assists in updating policy and procedures manual and the inmate handbook; communicates changes; ensures the latest files, programs, and rates are available for work operations.
- Enters and maintains daily mailroom statistic reports for management.
