Key Responsibilities
- Oversee the day-to-day operations of the business office, ensuring seamless workflows and adherence to policies.
- Build and maintain strong vendor relationships, including contract negotiation and management.
- Supervise and support clerical staff, ensuring excellence in front desk operations and customer service.
- Develop and maintain efficient filing systems and documentation processes.
- Coordinate executive calendar management and ensure all meetings are efficiently scheduled and prepared for.
- Plan and manage company events, ensuring flawless execution of logistical details.
- Implement and refine office procedures to maximize productivity and efficiency.
- Provide hands-on training and support for staff in using software and tools, including QuickBooks.
- Uphold professional phone etiquette and ensure outstanding customer interactions.
- Support the sales team in hitting weekly and monthly targets by organizing training sessions, monitoring progress, and creating strategies to overcome challenges.
- Split time effectively: spend half the day in-office leading operations and assisting the team with leadership duties, and the other half out in the field building relationships, gaining new accounts, and nurturing existing client partnerships.
Qualifications
- Must have exceptional communication and deescalation skills for both clients and staff.
- MBA or equivalent in work/management experience.
- Proven experience in office or administrative management, ideally in a construction, insurance, or sales-related field or similar industry.
- Strong vendor management and negotiation skills, with a track record of building lasting partnerships.
- Detail-oriented, with expertise in filing, documentation, and clerical processes.
- Experience managing front desk operations and delivering excellent customer service.
- Advanced organizational skills, including calendar management and task prioritization.
- Demonstrated success in planning and executing events with precision.
- Familiarity with QuickBooks or similar accounting software, and payroll management (preferred).
