Venue Event Manager
Rava Wines is currently seeking a full-time Venue Events Manager. Located in the El Pomar AVA in the heart of Paso Robles Wine Country, Rava Wines Events is the place for celebrations and live entertainment. The Rava’s, a third-generation farming family, has taken their expertise into the cellar crafting sparkling wines in the traditional méthode champenoise style. Responsibilities and Duties:
The Event Venue Manager position includes various roles including daily management, coordination and planning as well as facilitating the execution of events on the day of. The purpose of the position is to interact with our guests and to ensure they have a positive and memorable experience while attending any event at Rava Wines property. The Event Venue Manager will plan, develop, manage, direct, and oversee event operations. The Event Venue Manager will also help develop and implement strategies and objectives to ensure achievements for the company. The ideal candidate will be committed to building a strong reputation for the Rava brand both in the event industry and in the wine industries.
Essential Responsibilities/Duties:
- Manage each event from initial sale through successful completion. * Book music acts for Summer Series and Ticketed Events * Manage incoming telephone calls and emails, respond appropriately to client inquiries, and create proposals. * Increasing leads to generate increased revenue * Respond promptly to all email and phone inquiries and conduct tours. * Follow up with clients regarding holds and bookings, actively engaging clients in a meaningful manner * Communicate all relevant information to wedding party and appropriate departments in a detailed manner. Produce details for events (timelines, BEO, layouts) * Coordinate and attend culinary tastings, final walk-throughs, and rehearsals * Hire, train, schedule and manage staff responsible for event coordination activities * Ensure the day of the event goes smoothly and events run according to schedule. * Work with the guest(s) of honor to ensure all requests are met * Assist with setup and tear down of Rava Wines rentals as needed * Coordinate with the wedding coordinators and vendors upon arrival of event to review wedding timeline * Maintain high standards for safety and cleanliness in all areas of the property, operate company golf carts, at appropriate speed and with caution * Attend industry events and build a network of strategic relationships with other hospitality and event professionals * Communicate any areas of need, problems and concerns to the General Manager * Ensure successful events that meet both the client needs and company's profitability guidelines. * Provide guests with a memorable, once-in-a-lifetime experience
Qualifications, Education and Experience:
- Bachelor's Degree preferred - Marketing, Communications, Hospitality, Event or Meeting Planning - or equivalent experience in the hospitality industry * A minimum of 2 years of specialized event experience * Must have advanced computer skills; including working with the Microsoft Office Suite (including Excel), Google Documents, etc. * Strong systems and technical skills and ability to maintain knowledge of current and new developments of tools and technology. * Proven collaborator with the ability to organize, prioritize and manage multiple projects simultaneously. * Demonstrated strong work ethic with high energy, and positive, initiative-taking demeanor with the ability to handle all types of personalities and unexpected situations. * Knowledge of meeting planning and exhibit production methods and processes. * Ability to develop event proposals, estimates, schedules, and budgets. * Superior communication skills (written and verbal); negotiation skills; excellent interpersonal, organizational, and critical thinking skills. * Maintain a professional and polished appearance * Ability to work cohesively with co-workers as part of a team * Able to work under pressure and remain calm to resolve problems using good judgment * Possess and maintain current * California Driver License with satisfactory driving record Working Conditions * May be in indoor or outdoor setting, dependent on venue and location * Varied weather conditions are expected * Varied schedule to include evenings, weekends, holidays and extended hours of business Must be able to stand and walk for an extended period of time around large venues * May be required to lift up to 50 pounds on a frequent basis
