What are the responsibilities and job description for the Export Coordinator position at Ravago?
Purpose
Export Coordinators play a key role in the success of Ravago International’s operational strategy of achieving a competitive advantage in the market based on service differentiation. This position is responsible for the sales orders and their associated shipments from beginning to end by planning and executing export activities as well as monitoring the activities performed by the ancillary teams to ensure Export shipments are successful and meet their deadlines. Export Coordinators specialize in US Export requirements such as Incoterms, Trade Agreements, Documentation and Certifications required by multiple destination countries and need a high comprehension of the logistics processes and supply chain. This role will also be responsible for analyzing and strategically coordinating each shipment to optimize cost while working with internal and external customers providing the agility, flexibility and necessary expertise to minimize transportation, warehousing and other costs affecting the shipment.
Areas of Responsibility / Tasks
Performance must reflect appropriate level of expertise and achievement of the desired results for the items listed below.
1. Essential Functions
a. Processes our customers’ purchase orders, oversees regional offices’ sales orders and all related requests such as: obtaining price and credit approvals and securing product allocation
b. Review order details and ensure they are following US Customs and Border Protection regulations and company policies and procedures, such as: road weights restrictions at destination, documentation required, Trade Agreements, Power of Attorneys, validate HS codes and Product Description, provides all the necessary information for routed transactions, validate the FOB value.
c. Ensures that all transactions meet acceptable profit requirements and shipment deadlines and audits orders for accuracy prior to releasing.
d. Effectively communicates order status to external customers and overseas regional offices, including vessel delays, roll overs, split shipments, backorder information and future, documentation status order confirmations.
e. Responsible for ensuring all Intercompany Transactions meet the required “markup policy” by following the guidelines provided by our Accounting Team, this requires additional manual calculation outside the system and submitting a “Price Adjustment” form to the company’s CFO for approval.
f. Monitors and maintain all customer specific information and requirements within operating system.
g. Coordinates country required pre-shipment inspections as needed with the different Customs agencies involved and completes forms accordingly.
h. Communicates with Freight Forwarders to coordinate Air shipments with different carriers from beginning to end and provides all necessary manual documentation required to import the cargo at destination.
i. Responsible to monitor order progression across multiple departments within Ravago International by utilizing the company systems and reports to accurately monitor their orders.
j. Invoice Sales Orders and provide complete documentation and certification package to regional Sales offices for distribution to final customers prior to cargo arrival to enable the nationalization of material at foreign destination avoiding any delays to prevent extra costs. Documents package includes Commercial Invoice, Packing List, Certificate of Analysis, Copy of Bill of Lading, Certificate of Origin and Free Trade Agreement documents as applicable based on destination.
k. They closely monitor shipments to High-Risk countries and ensure the necessary guidelines are being followed to comply with Customs Regulations to avoid possible fines and sanctions.
l. Monitors and enforces existing orders per the terms of the agreement between Ravago International Companies and their customers.
m. Assists in all proactive duties aimed at successfully executing rush orders to help stimulate soft sales and achieve committed sales volume targets while maintaining and improving customer’s satisfaction.
n. Follows set guidelines in submitting accurate and complete requests/paperwork to other departments by appropriate deadlines, actively working with freight forwarder on scheduling and tracking the status of orders.
o. Actively problem solves by seeking better alternatives for performing assigned tasks by making rational assessments of options and reaching logical and accurate conclusions from available information.

Minimum Qualifications/ Education / Experience / Certifications
1. Education:
a. Bachelor’s degree or equivalent work experience required
b. Equivalent experience considered in lieu of degree
2. Experience:
a. Freight forwarder experience preferred.
b. Experience working effectively with transport service providers.
c. Experience in trading, resale, distribution and supply chain preferred
d. Proficiency in Microsoft Office: specifically Outlook, Word, and Excel with the aptitude to quickly learn and understand additional applications
3. Licenses / Certifications:
a. Valid driver’s license – required
4. Language:
a. Proficiency in English required
b. Bi-Lingual – Spanish or Portuguese is a plus
