ORGANIZATION
The mission of Ravenswood Family Health Network (RFHN) is to improve the health of the community by providing culturally sensitive, integrated primary and preventative health care to all, regardless of ability to pay or immigration status, and collaborating with community partners to address the social determinants of health.
POSITION SUMMARY
The Diagnostic Referrals Assistant is responsible for processing orders for radiology and other diagnostic studies initiated and submitted by Medical Assistants to providers of diagnostic studies based on orders from RFHN Providers. After Medical Assistants initiate the diagnostic referral to the appropriate entity with supporting documents based on the patient’s health plan coverage, this position will follow-up to obtain authorizations when required and assist patients with obtaining appointments. This position will also track the status of the order and ensure reports are obtained from completed appointments. The Diagnostic Referrals Assistant will ensure reports are sent and saved in the patients EHR record and that providers are notified of completed studies.
DUTIES AND RESPONSIBILITIES
To be performed in accordance with RFHN Policies and Procedures
- Facilitates the completion of diagnostic referrals:
a. Receives initiated radiology referrals from the clinical departments and ensure paperwork and orders are complete and information is accurate.
b. Validates electronically that diagnostic referrals have been accurately initiated with the referral source.
c. Updates diagnostic orders with additional documentation as needed.
d. Communicates with the patient to schedule referral at the correct facility.
e. Submits the appropriate information to insurance, health plans and referral facilities as required for authorization.
f. Monitors the status of the referral approval and intervenes when denied.
g. Updates diagnostic orders status in the EHR.
h. Obtains additional information as needed from the provider to support authorization when requested.
i. If referral is denied, informs provider and assists with submitting necessary information for appeal, if needed.
j. Assists medical team members with the initiation of the referral process by providing information on referral procedures, answering questions, and helping them complete tasks necessary for successfully initiating diagnostic referrals.
k. Monitors the insurance or health facility portals for progress of diagnostic referrals and intervenes when progress is stalled.
l. Communicates with the patient regularly to address barriers to completing the diagnostic study until it is completed.
m. Communicates with the provider in timely manner when the diagnostic study result is received by fax or available in the electronic health record. Messages providers with updates.
n. Provides documentation as requested by external organizations regarding diagnostic referrals.
o. Assists patients with obtaining appointments at RFHN for in-house imaging appointments.
p. Runs reports for tracking of radiology orders and referral requests.
q. Performs administrative functions.
2. Fosters an environment that promotes trust and cooperation among patients and staff, maintaining confidentiality concerning patient and employee information.
3. Participates in cross departmental meetings to improve diagnostic referral workflows and communication flows.
4. Attends staff meetings and RFHN organizational events, as requested.
5. Participates in improving the referrals processes.
6. Other duties as assigned and requested.
Qualifications
QUALIFICATIONS
- High school diploma or GED required.
- Bilingual English/Spanish proficiency required.
- Experience working in a community health clinic or ambulatory health center highly preferred.
- Basic knowledge of computers in a Windows environment required.
- Experience working with electronic health record systems, Epic preferred.
- Outstanding customer service abilities.
- Ability to communicate effectively verbally and in writing.
- Up to date with COVID-19 vaccines per current CDC guidelines strongly recommended.
The pay range for this position is $23.00 to $30.00 per hour. However, the final base salary will be determined upon a number of individualized factors such as (but not limited to) the scope and responsibilities of the position, job-related knowledge, skills, experience, education and certification levels, and departmental budget. We also consider internal equity with our current employees when making final offers.
