ORGANIZATION
The mission of Ravenswood Family Health Network (RFHN) is to improve the health of the community by providing culturally sensitive, integrated primary and preventative health care to all, regardless of ability to pay or immigration status, and collaborating with community partners to address the social determinants of health.
POSITION SUMMARY
Under the supervision of the Controller, the Payroll Specialist is responsible for gathering, inputting, preparing, and submitting the payroll for over 300 employees on a bi-weekly basis. In addition, this position orients new employees to RFHN’s timekeeping platform (Paycom), registers and instructs them on the use of the biometric time clock, and provides guidance on payroll policies and procedures.
DUTIES AND RESPONSIBILITIES
To be performed in accordance with RFHN Policies and Procedures
- Processes payroll for 300 exempt and non-exempt employees on a bi-weekly basis:
- Reviews bi-weekly timecards in accordance with federal and state guidelines and labor laws.
- Works with managers to ensure timecards and time off requests are submitted on a timely basis every pay period.
- Follows up with managers and employees if there are discrepancies on timecards.
- Prepares payroll journal entries to be entered into accounting system.
- Maintains employee payroll records and correspondence as required by external reporting agencies and federal and state guidelines.
- Participates in New Hire Orientation by instructing new employees to use the biometric time clock, web timesheet, and provides a presentation of payroll policies.
- Responsible for the timely and accurate processing/auditing of payroll and related processes for assigned business units, including weekly, bi-weekly, quarterly and year-end tasks.
- Prepares bi-weekly Retirement Plan Contribution and Match report to be remitted for payment.
- Prepares monthly, quarterly, and annual payroll and benefits reconciliations and reporting with the general ledger and 941 filings.
- Investigates and resolves any discrepancies or issues related to payroll.
- Creates and processes various employee payroll reports for updated and accurate employee information, such as accrued benefit accruals, benefit integration and contracted staff hours.
- Communicates effectively in a manner that promotes trust and cooperation with all staff.
- Ensures effective customer service that is culturally and linguistically appropriate for co-workers and their department heads.
- Collaborates with those responsible for accounting, payroll, and audit responsibilities.
- Assists the team with urgent or time-sensitive matters.
- Other duties as assigned and requested.
Qualifications
QUALIFICATIONS
- High degree of accuracy and attention to detail required.
- Bachelor’s Degree with classes in Payroll, Accounting, or Finance; or minimum of 2 years of experience working with payroll and accounting; or equivalent combination of education and experience.
- Strong, research, data analysis, and problem-solving skills.
- Multitasking abilities in a fast-paced, deadline driven work environment.
- Proficient in MS Office and Excel.
- Experience in payroll accounting strongly preferred.
- Experience using Paycom strongly preferred.
- Experience in a healthcare setting strongly preferred.
- Excellent written and verbal communication skills.
- Ability to work independently without supervision as well as in a team.
- Up to date with COVID-19 vaccines per current CDC guidelines strongly recommended.
The salary range for this position is $74,880 to $87,360 annually. However, the final base pay will be determined upon a number of individualized factors such as (but not limited to) the scope and responsibilities of the position, job-related knowledge, skills, experience, education and certification levels, and departmental budget. We also consider internal equity with our current employees when making final offers.
