About the Role:
As the first point of contact for our visitors and callers, you’ll play a vital role in creating a welcoming, professional environment while supporting a wide range of administrative needs across departments. This position offers a unique blend of front desk responsibilities, document management, data entry, scheduling coordination, and bilingual translation services, especially focused on operations and safety.
What You’ll Do:
- Greet and assist visitors, clients, and employees with professionalism and a smile
- Answer and route incoming calls, handle inquiries, and maintain a welcoming front desk
- Manage calendars, schedule meetings, and coordinate conference room bookings
- Keep the front office organized and fully stocked
- Collaborate with Operations to create, revise, and maintain product playbooks
- Organize and sort driver check sheets and assist Accounting and Safety teams
- Provide administrative support to the Safety Department, including data entry and updating compliance materials
- Translate training and communication materials from English to Spanish and vice versa
- Assist with weekly paycheck sorting and general document handling
- Design visual materials such as PowerPoint presentations for various departments
- Support cross-departmental projects with efficiency and discretion
What We’re Looking For:
- High school diploma or equivalent (associate's degree preferred)
- 1–2 years’ experience in a receptionist, front desk, or administrative role
- Proficiency in Microsoft Office (Word, Excel, PowerPoint)
- Strong communication skills—both verbal and written
- Excellent organizational abilities and attention to detail
- Ability to manage multiple priorities in a fast-paced environment
- Bilingual in English and Spanish required.
- Portuguese strongly preferred
- Professional, positive attitude and the ability to handle sensitive information discreetly
Work Environment:
- Office-based role with frequent interaction with team members, visitors, and vendors
- Occasional coordination with warehouse, logistics, and safety teams
- Regular use of office equipment; occasional lifting of light materials (up to 25 lbs.)
- Expect a fast-paced setting with frequent interruptions and multitasking
