Location : Rawhide Event Center / Firebird Motorsport Park

Compensation : DOE

FLSA Status : Part-Time; Non-Exempt (30 hours)

Supervisory : No

Report to : Director of Event Sales

Position Overview :

This support position will provide the Rawhide team with assistance and support as an administrative secretary as well as serve in a receptionist capacity for the company overall. Performs other key, critical office task and duties as assigned by the Director of Event Sales.

Responsibilities :

Essential Duties & Responsibilities

  • Greet clients, vendors and guest at the front desk. Manage the phone lines and automated system.
  • Take detailed, accurate messages and deliver to the appropriate department or person in a timely manner.
  • Handle incoming calls and answer general questions about the company and special events.
  • Assist with management team and accounting department workflow including mail, correspondence, and telephone calls, calendar arrangements and conference calls.
  • Organize files and other records, assist with special reports, and other projects.
  • Support various administrative functions as needed for Rawhide departments / teams.
  • Maintain spreadsheets and compile data for wide variety of projects and initiatives.
  • Perform additional duties, although not detailed, as requested by a manager at any time.

  • Education & Experience

    An Associate's Degree in a related field of study or equivalent to at least five (5) years of experience at a Secretary II level position or Administrative Assistant level position, or any combination of education and experience sufficient to be successful in carrying out the essential duties of the position.

    Computer Skills

    Microsoft Word; Microsoft Excel; Microsoft Outlook; Internet Explorer, and Quickbooks preferred.

    Language Ability

    Ability to read and comprehend simple and complex instructions, and various types of professional. Ability to effectively present information in one-on-one and small group situations, to customers, clients, and other employees of the organization.

    M a th Ability

    Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent, and to draw and interpret bar graphs.

    Physical Demands

    While performing the duties of this job, the employee is regularly required to sit for an entire shift / extended period of time. The employee occasionally is required to stand; and bend, climb, stoop, lift, carry, push, kneel, crouch, or crawl. The employee must regularly lift and / or move 10 pounds, and occasionally lift and / or move up to 25 pounds.
