This Estate Planning Legal Assistant position enhances the effectiveness of the attorneys in the group by performing a variety of tasks and duties such as drafting correspondence and legal documents; managing calendars for meetings; maintaining electronic files in the firm's document management system; and maintaining hardcopy client files. Primary Duties & Responsibilities
- Maintain hardcopy and electronic client files
- Create drafts of estate planning documents such as wills, trusts, certificates of trusts, powers of attorney, health care directives, tangible personal property lists
- Research county recorder records, create deeds and record deeds
- Attend signing meetings with attorney and clients
- Create drafts of probate documents including petitions, death certificates, acceptances, waivers and releases, orders, letters testamentary, etc.
- Organize and file legal pleadings in order to ensure process requirements are met
- Foundations:
- maintain master spreadsheet of charitable recipients
- prepare mail merge letters for grants
- prepare minutes and other materials for foundation meetings
- Perform administrative duties such as making copies, scanning, and answering phone calls
- Coordinate and manage calendars for meetings, court hearings and legal education classes
- Communicate with clients, courts, outside counsel, and other affiliates
- Assist with and maintain time entries, billing records and invoicing issues
- Assist with preparation of 706 Estate Tax Returns and 709 Gift Tax Returns on firm software
- Assist with annual renewal of attorney licenses and continuing legal education requirements for multiple states
Knowledge, Skills and Abilities
- Proficient in Microsoft Office and Adobe
- Excellent interpersonal and communication skills
- Organized with a strong attention to detail
- Ability to take direction and work independently with little or no supervision
- Ability to keep and maintain confidential information regarding clients and firm issues
- Proficient typist
- Ability to file deeds electronically
Qualifications
- 3 years working as an estate planning legal assistant
- Two-year degree or equivalent work experience
- Notary license in the state of Utah; or ability to obtain
