About the Opportunity:
Our national law firm seeking a Client Intake Coordinator to join its growing team. This hybrid role (2 days per week in office) is based in Kansas City and offers the opportunity to work in a collaborative, fast-paced environment supporting legal billing and client matter management processes.
This is a great fit for someone with experience in legal billing, finance, or professional services who is detail-oriented and enjoys working with systems, data, and internal stakeholders.
Key Responsibilities:
- Set up new client matters in the billing system, ensuring all rate structures and invoice delivery methods are properly configured
- Review client billing guidelines and implement requirements such as cost caps, eBilling compliance, and split billing
- Manage timekeeper rates and maintain accurate billing and matter records
- Create and update billing groups, contacts, addresses, and matter plans
- Perform edits, revaluations, and adjustments to time entries as needed
- Support ongoing compliance with client requirements and invoice delivery standards
- Maintain shared inbox for billing and intake-related requests
- Generate ad hoc reports and complete regular administrative tasks as assigned
- Support internal teams with intake and billing questions in a timely and professional manner
- Observe confidentiality and data protection best practices in all aspects of the role
Qualifications:
- Bachelor’s degree in Accounting, Business Administration, or related field (or equivalent experience)
- Familiarity with Elite or similar financial/legal billing software (required)
- Proficiency in Microsoft Excel and Office Suite
- Strong understanding of client billing guidelines and rate structures
- Excellent written and verbal communication skills
- Ability to work independently and as part of a team
- Flexible and proactive, with strong attention to detail

Pay: $60,000.00 - $65,000.00 per year
