Job Overview:
As a Construction Project Administrator at RBA Builders, you will play a vital role in that supports construction project teams throughout all phases of a project from estimating and bidding to operations and closeout.
The PA1 performs essential administrative and operational tasks including documentation management, scheduling coordination, vendor communication, and cost tracking. This role provides a foundational opportunity to build a career in commercial construction administration while learning from experienced project professionals in a fast-paced and collaborative environment.
Responsibilities:
Maintain organized physical and digital project files.
- Assist with material procurement, shipping/receiving, and supply tracking.
- Support invoice collection, verification, and subcontractor pay applications.
- Help verify subcontractor insurance compliance.
- Assist with bid solicitations, prequalification forms, and bid document tracking.
- Contribute to schedule updates, procurement logs, and long-lead item tracking.
- Help compile and update safety documentation and project forms.
- Prepare draft documents, reports, and correspondence for internal and external use.
- Assist with cost tracking, subcontractor change orders, and budget updates.
- Support business development efforts through proposal preparation and client follow-up.
Education:
High school diploma or GED required.
Associate or bachelor's degree in construction management, Business Administration, or related field preferred.
Experience:
1–2 years of experience in construction, administrative support, or project coordination.
Internship or prior experience in a construction or production environment is a plus.
Skills:
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Familiarity with construction software platforms like Procore, Bluebeam, and MS Project (preferred but not required).
- Basic understanding of construction documents and terminology.
- Strong organizational and time management skills.
- Excellent written and verbal communication skills.
Abilities:
- Ability to multitask and prioritize duties in a deadline-driven environment.
- Comfortable working both independently and collaboratively as part of a project team.
- Attention to detail and commitment to accuracy in documentation and reporting.

Certifications:
Valid California Driver’s License required.
- Ability to pass a background check for access to secured project sites (e.g., Boeing, Northrop Grumman).
- No certifications required at entry level; OSHA 10 or administrative certifications are a plus.
