Position Summary:
The Customer Service Coordinator plays a vital role in supporting the Maintenance Department by managing customer inquiries, coordinating schedules, and ensuring seamless communication between team members. This position requires a proactive individual with excellent organizational skills, strong math and grammar proficiency, and a commitment to delivering exceptional customer service.
Key Responsibilities:
- Answer and respond to a high volume of incoming customer phone calls and emails promptly and professionally.
- Create, manage, and follow up on maintenance tickets to ensure timely completion and customer satisfaction.
- Schedule and coordinate maintenance visits, balancing resources efficiently and ensuring adherence to deadlines.
- Maintain and update accurate customer records in the system, including filing and database management.
- Communicate with customers regarding maintenance updates, appointment confirmations, and follow-ups.
- Provide support for invoicing, billing inquiries, and tracking payments for maintenance services.
- Assist with logistical planning and scheduling for maintenance team assignments, ensuring effective resource allocation.
- Collaborate with the Maintenance team to resolve customer concerns and streamline operations.
- Represent Crystal Clear Custom Pools, professionally in all interactions, upholding the company’s standards of excellence.
Position Requirements:
- Minimum 2-3 years of customer service and scheduling experience.
- Strong proficiency in math and grammar, with the ability to calculate, edit, and present accurate information.
- Excellent communication skills, including professional email and phone etiquette.
- Exceptional organizational skills with attention to detail and accuracy.
- Proficient in Microsoft Office Suite (Word, Excel) and comfortable using our scheduling software.
- Ability to prioritize tasks, multitask effectively, and adapt to a fast-paced work environment.
- Team-oriented mindset with a “can-do” attitude and a willingness to learn.
- Prior experience in the pool and spa industry is preferred but not required.
Preferred Qualifications:
- Experience managing logistics, scheduling, or coordinating teams.
Familiarity with pool maintenance processes or industry terminology is a plus
