The Reception and Documentation Representative will manage the front desk, receive and direct calls, and perform a variety of administrative and clerical tasks. The role will be the first point of contact for RC Trailers. Duties include offering administrative support across the organization with focus on Sales and HR functions. This person welcome guests and greet people who visit the business and coordinate front-desk activities, including distributing correspondence, sales/shipping documentation, accounting documentation, HR documentation and redirecting phone calls.
To be successful in this role the person should have a pleasant and professional personality, as this is also a customer service role. The role should also be able to deal with emergencies in a timely and effective manner, while streamlining office operations. Multitasking and stress management skills are essential for this position.
- Greet and welcome guests as soon as they arrive at the office.
- Maintain office security by following safety procedures and controlling access via the reception desk.
- Direct visitors to the appropriate person and office.
- Answer, screen and forward incoming phone calls.
- Generate VIN materials and Shipping documentation.
- Coordinate Accounting documentation processing with ATW.
- Manage Job Applicants to apply electronically on I-Pad in Reception.
- File documentation as required.
- Capture Warranty Registration data.
- Receive, sort and distribute daily mail/deliveries.
- Order front office supplies and keep inventory of stock.
Ensure reception area is tidy and presentable, with all necessary stationery and material.
- Proven work experience as a Receptionist, Front Office Representative, or similar role.
- Proficiency in Microsoft Office Suite.
- Hands-on experience with office equipment.
- Professional attitude and appearance.
- Solid written and verbal communication skills.
- Ability to be resourceful and proactive when issues arise.
- Excellent organizational skills.
- Multitasking and time-management skills, with the ability to prioritize tasks.
- Customer service attitude.
- High school diploma: additional certification in Office Management is a plus.
