The Office Assistant is responsible for performing a variety of AP, HR, general office and support duties within SOP requirements. Maintain accurate Accounts Payable data in the system and communicate all daily activities and status information to Executive Assistant. Hold a thorough knowledge of all company benefits and inform employees of human resource policies, programs, and benefits as needed. Assist in planning and implementing of AR department as growth requires. Perform general office support functions and assist area personnel as necessary.
1. AP - Assumes responsibility for consistently maintaining accurate and up-to-date Accounts Payable system data, vendor relations, and adherence to SOP
a. Maintain current and accurate vendor information (i.e. payment terms, remittance address, contact information)
b. Ensure the presence of current liability insurance certificates are on file for any vendor performing on-site work
c. Continually work with other departments to resolve receiving/invoicing discrepancies in a timely manner
d. Initiate and monitor Debit Memos resulting from short shipments, damaged items, incorrect shipments, etc., ensuring timely resolution
e. Research and resolve any vendor account issues (i.e. COD, credit hold) by verifying vendor data to system and submitting payment request to Executive Assistant for final approval based on urgency and effect to production.
f. Reconcile monthly vendor statements ensuring all invoices and credits are processed and posted properly
g. Submit all check request to Executive Assistant ensuring all information and documentation is accurate and complete prior to submission of request
h. Ensure AP files are accurate, organized, and current
i. Keep Executive Assistant informed of all area activities, issues, problems, and status on a daily basis
j. Ensure the received but not invoiced report is kept at a minimum
2. HR - Assumes responsibility for effectively recording, maintaining, and reporting human resource information and adherence to SOP
a. Process all new hire and exit packets ensuring all documentation is present, and all forms and tests are completed
b. Provide accurate health insurance data to the insurance broker and communicate any changes and new enrollments to corporate
c. Ensure all employee time is properly posted and any payroll issues (Vacation, PTO, change in insurance deduction, etc.) are noted on the weekly transmittal to Executive Assistant
3. AR – Assist in planning and implementing AR department and tasks as future growth requires
4. General Office - Assumes responsibility for successively performing various assigned tasks and other general support functions and duties
a. Oversee/assist planning of company events such as employee appreciation, customer appreciation, and sales meeting
b. Maintain office supplies, equipment maintenance, and office cleaning
c. Ensure office work areas are kept neat and organized
d. Maintain professional atmosphere and conduct at all times
e. Communicate area activities and any significant problems to administrative director
f. Provide backup for receptionist
g. Assist all management as needed
5. Customer Service - Assumes responsibility for providing exceptional customer support
a. Send shipper/receiver documents to customers
b. Create asset folders for units received
c. Enter and ensure warranty claim information is accurate in system
Job Type: Full-time
Pay: $17.00 - $23.00 per hour
