JOB TITLE: Junior Executive Assistant

AUTHORITY & SUPERVISION:

·         Reports directly to CEO to support marketing initiatives


JOB DUTIES & RESPONSIBILITIES

·         Provide comprehensive administrative support to the CEO, including scheduling meetings, managing calendars, coordinating travel arrangements, and organizing appointments.

·         Act as liaison between CEO and marketing related vendors to help drive marketing initiatives. 

·         Facilitate ordering of branded materials and collateral. 

·         Prepare and maintain various documents, reports, and presentations to track brand awareness, lead generation, website marketing, and SEO management.

·         Assist the Sales and Customer Service teams as needed.

·         Participate in ad-hoc projects and initiatives as assigned by the CEO or senior management.

·         Collaborate with various departments and teams within the organization to facilitate effective communication and streamline processes.

·         Seek opportunities to enhance your skills and knowledge related to marketing support and the HVAC industry.

 

QUALIFICATIONS

·         High school diploma or equivalent required; additional education in office administration or a related field is a plus.

·         Proven experience (e.g., internships or entry-level positions) in administrative support roles is advantageous, preferably within the HVAC or a related industry.

·         Marketing support experience is a plus.

·         Proficient computer skills, including MS Office Suite (Word, Excel, PowerPoint, Outlook) and the ability to quickly adapt to new software and tools.

·         Strong organizational skills and attention to detail, with the ability to handle multiple tasks and prioritize effectively.

·         Excellent verbal and written communication skills, including professional phone etiquette.

·         Demonstrated ability to work collaboratively in a team-oriented environment.

·         A proactive and positive attitude, with a willingness to learn and take on new challenges.

·         Knowledge of HVAC terminology and processes is a plus but not required.
