File Room Clerk/Court Runner
This position involves the regular transport of court documents and other legal papers to and from local courthouses, government agencies and other businesses, both locally as well as to adjacent counties on occasion. Court runs include filing paperwork, picking up court orders, serving legal documents and retrieving case files. Employer will provide training in court procedures and locations. Position is also responsible for organizing, maintaining, and retrieving physical and electronic files according to established systems while upholding data confidentiality, along with photocopying, document assembly, and related document management skills. Twice daily post office runs and distribution of mail, and office-related delivery errands as needed.
DUTIES AND RESPONSIBILITIES:
- File organization: proper labeling and filing of legal case files within both active and closed file rooms.
- File Retrieval: promptly locating and retrieving requested files for attorneys and other staff members.
- File maintenance: regularly updating active files to closed status as well as overseeing an annual mass file destruction.
- Document Filing: delivering legal documents to appropriate courts and government agencies
- Document Retrieval: picking up legal documents, court orders and other requested records.
- Data Entry: entering and maintaining new matter information and scanning paper documents into digital database as needed.
- Completing mid-day and afternoon mail runs. Distributing mail to appropriate attorneys and staff members.
- Office support: maintaining file and mail room inventory, opening new matter physical files, creating tabs for medical binders, burning and labeling CDs/DVDs, completing occasional copy projects and other miscellaneous administrative office duties.
REQUIRED SKILLS:
- Confidentiality and discretion: protecting sensitive information at all times by adhering to data privacy regulations.
- Strong organizational skills and attention to detail: ability to systematize and maintain a comprehensive filing system with accuracy and precision.
- Computer Proficiency: familiarity with document management systems as well as Microsoft Office 365, Adobe and Excel.
- Time management: meeting deadlines for court filings and document/mail delivery, anticipating work-flow issues, and seeking out ways to assist others as time permits.
- Reliable transportation: access to a reliable vehicle for travel to and from various legal agencies, post office and requested office deliveries.
- Job duties require lifting and transporting file boxes and other materials up to 50 pounds
Education:
- High school or equivalent (Preferred)
