In this role, you will assist your direct supervisor in ensuring seamless daily operations, managing various projects, handling basic banking tasks, and coordinating meetings—all while delivering top-notch service to the agents. What You'll Do:Office & Administrative Support
- Serve as the go-to person for office coordination, assisting agents and leadership with daily administrative tasks.
- Manage office communications, scheduling, and supply inventory to keep everything running seamlessly.
- Provide exceptional customer service to agents and guests.
- Communicate with the Closing Team regarding file compliance, commission processing, and referral checks.
- Print commission or referral checks as needed and deposit commission checks via First Bank Desktop Teller once authorized.
Event Planning & Community Engagement
- Assist in event planning efforts for community outreach, client appreciation, and office-sponsored events.
- Coordinate logistics, scheduling, and execution of office-hosted events or meetings.
- Occasionally assist with evening or weekend events as needed.
Accounting & Financial Responsibilities
- Manage accounts payable (A/P) and accounts receivable (A/R), ensuring invoices are accurate, authorized, and properly recorded in (QBO).
- Process monthly associate billing, post payments, and deposit checks via First Bank Desktop Teller.
- Coordinate with the Closing Team to handle commission payments, referral checks, and compliance-related transactions.
- Remit authorized bills to the Home Office for payment and ensure proper account allocations.
- Deposit checks via First Bank Desktop Teller into the appropriate operating account.
What We're Looking For:
- A proactive, organized, and detail-oriented professional.
- Basic , including A/P, A/R, and (QBO) proficiency.
- Strong event planning skills with the ability to manage logistics and coordination.
- Proficiency in Microsoft Office and Google Suite.
- Familiarity with real estate operations (a plus but not required).
Work Schedule:
- Monday through Friday, in-office position
- Full Time
- 8am - 5pm with an hour lunch.
- Occasional evening or weekend assistance with office-hosted events several times per year.
