We’re searching for a diligent real estate administrative assistant. You’ll be responsible for managing all paperwork in a timely manner, notifying clients of approaching deadlines, ensuring each deal goes through the proper legal channels, scheduling appointments and walkthroughs, and providing superb customer service. In addition, you’ll work with other staff members to market our brand and arrange company events in the community. Compensation:
$16 - $18 per hour
Responsibilities:
Compete with others in the real estate industry by producing high-quality print and digital marketing materials
Coordinate schedules to ensure optimal open houses and final walkthroughs, travel arrangements, and general appointments
Fulfill client requests for information or other relevant transaction services in a quick and friendly manner
Keep track of all transaction documents in the client database and complete the necessary paperwork
Compile and distribute weekly/monthly reports and communicate key results to the rest of the team to ensure company goals are being met
Administrative Support: Perform unlicensed administrative tasks to assist agents and the leadership team
File and Compliance Review: Review transaction checklists and files to ensure compliance and timely processing
Data Entry: Maintain accurate records, update databases, and input information into various systems. Experience with SkySlope, BrokerMint, kvCORE and/or BoldTrail is a plus!
Agent Support: Provide exceptional assistance to agents, answering questions, troubleshooting issues, and ensuring their needs are met
General Office Tasks: Manage office supplies, answer phones, handle mail, and maintain a welcoming and professional office environment
Event Planning: Coordinate and organize company events, meetings, and celebrations
Social Media Management: Assist with posting and scheduling content for social media platforms to enhance company visibility and engagement
Qualifications:
Communicates well, both verbally and written
Must have high school diploma or GED
Available evenings and weekends
Previous experience in the real estate industry
Understands how to utilize a database for processing client information and how to use Microsoft Office to create necessary documents
Previous administrative experience
Technology savvy
Exceptional attention to detail and organizational skills
Strong communication and interpersonal abilities
Proficiency in Microsoft Office Suite, Google Workspace, and/or other office tools
Experience with social media platforms and basic content creation is a plus
Ability to work both independently and collaboratively within a team
Familiarity with real estate processes and compliance is a significant advantage but not required
