Administrative Assistant Job Description
Reports To: Executive Director and Assistant Director
Training: 20-hr Crisis Counseling/Dynamics of Domestic Violence, Sexual Assault, and Human Trafficking Training Offered by REACH of Macon County.

Pay range: $18.00 per hour. Position can be FT or PT depending on candidate’s qualifications and their willingness and/or ability to provide victim advocacy work including responding to after-hours crisis hotline.
Administrative Assistant
Position Overview:
The Administrative Assistant provides essential clerical and operational support to ensure the smooth functioning of the organization. This role requires strong organizational skills, attention to detail, and the ability to manage multiple tasks in a fast-paced environment. The ideal candidate is a team player with experience in administrative tasks, familiarity with QuickBooks, and a background in nonprofit operations is a plus. A strong commitment to supporting victims and survivors of domestic violence, sexual assault, and human trafficking is essential.
Key Responsibilities:General Administrative Support
- Assists in answering incoming phone calls and agency emails, directing inquiries appropriately.
- Draft and format correspondence, reports, and other documents as requested.
- Maintain and organize office files, including personnel, vendor, and accounting records.
- Assist with Board and Committee meeting preparation, including compiling materials when necessary.
- Manage daily mail collection from the Post Office and distribute it to appropriate staff.
- Monitor and maintain office supply levels, placing orders as necessary with Executive Director approval.
Finance & Record-Keeping
- Maintain and reconcile petty cash funds.
- File invoices with processed checks, ensuring proper documentation for accounting records.
- Assist in compiling monthly vouchers for the organization’s bargain store.
- Support grant-related documentation, including pulling receipts, making copies, and submitting reports to the Executive Director and Assistant Director.
- Assist with weekly bill pay.
- Assist with annual audits by gathering and organizing required documentation.
HR & Compliance
- Complete employee onboarding paperwork and conduct background checks.
- Maintain records of community service and volunteer hours.
- Willing to obtain a notary certification if not already certified.
Donor & Community Engagement
- Initiate and manage donor thank-you letters and tax receipt acknowledgments.
- Assist with event planning, coordination, and participation as part of the administrative team.
Other Duties
- Perform additional responsibilities as assigned by the Executive Director to support the organization's mission and daily operations.
Qualifications & Skills:
- Strong organizational skills with attention to detail.
- Ability to handle multiple tasks in a fast-paced environment.
- Experience with QuickBooks and basic accounting practices preferred.
- Previous experience in a nonprofit setting is a plus.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and general office equipment.
- Excellent communication skills, both written and verbal.
- Ability to work independently and as part of a team.
- Passion for supporting victims and survivors of domestic violence, sexual assault, and human trafficking.
