Administrative Coordinator (Non-Exempt)
Position Summary:
The Administrative Coordinator (AC) will report to the Executive Director and the Board of Directors. This role complements the Executive Director's position and shares some overlapping responsibilities while focusing on administrative oversight, operational management, and community engagement. The AC ensures the smooth functioning of office operations, senior center functions and organizational compliance. This is a full-time position based in Twentynine Palms, California.
Key Responsibilities:
- Organizational Management
- Oversee daily operations of office staff and volunteers to maintain organizational efficiency.
- Oversee Human Resources to implement and maintain best practices that mitigate organizational and operational risks, ensuring compliance and fostering a culture of accountability.
- Designs and delivers tailored training programs for team members, Office Assistant, Drivers and Volunteer roles, focusing on skill development, empowerment growth, and operational excellence.
- Promotes team cohesion and performance by organizing team-building initiatives that enhance communication, trust, and collaboration within the organization.
- Assist Board of Directors and Executive Director to develop. implement, and improve administrative systems, policies, and procedures.
- Financial Oversight of In-House Event Planning
- Collaborate with the Executive Director to oversee accounts payable/receivable, budgeting, and financial reporting as it pertains to senior center activities and organization fundraising events.
- Prepare monthly financial summaries for the executive director on senior center activities and functions.
- Assist in preparation of reports and data for grant reporting by Executive Director.
- Community Relations
- Act as a liaison to the community to maintain and enhance Reach Out’s reputation.
- Light representation of the organization at community events and with partners.
- Collaborate with the Executive Director on public relations efforts, including website management, social media, newsletters, announcements, and promotional materials.
- Volunteer and Office Supervision
- Provide leadership to staff, ensuring alignment with organizational goals.
- Work closely with the Office Assistant, Volunteer Coordinator and Drivers on scheduling, volunteer coordination, and office management.
- Ensure staff compliance with organizational policies and procedures.
- Serve as a conduit between staff, the Executive Director and the Board of Directors.
- Compliance and Risk Management
- Maintain accurate records and reports to meet federal, state, and grant requirements in collaboration with the Executive Director’s Initiatives.
- Ensure adherence to safety, operational, and administrative guidelines.
- Implement, update and maintain employee handbook and all federal, state and county labor policies as required
- Other Duties as Assigned
- Assist the Executive Director and other team members with tasks that align with organizational goals.
- May include occasional driving of clients in support of operations.
Qualifications:
- Education: Bachelor’s degree in business administration, Nonprofit Management, or a related field (preferred).
- Experience: Minimum of 3 years in nonprofit management or administrative leadership roles.
- Skills:
- Strong leadership and organizational skills.
- Financial acumen with experience in budget management.
- Excellent communication and public speaking abilities.
- Ability to work collaboratively with staff, volunteers, and community partners.
- Bi-lingual/Bi-Literate (Spanish) a benefit
- Other Requirements:
- Valid driver’s license.
- Proficiency in office software (QuickBooks, MS Office Suite).
- The selected applicant must pass a background investigation, which includes full Dept. of Justice and FBI background check, credit check, reference checks, pre-employment drug screening and medical exam, prior to appointment.
Working Conditions:
- Full-time (40 hours per week), with occasional evening or weekend responsibilities as needed.
