Position Overview:
The Commission and Compliance Specialist ensures accuracy, compliance, and efficiency in all mutual transactions. This role involves conducting routine audits, producing and reviewing commission forms for escrow, and ensuring all required forms are complete and compliant. Reporting directly to the Sr. Commission and Compliance Coordinator, the Specialist plays a pivotal role in maintaining operational standards and regulatory adherence.
This position requires a detail-oriented professional with strong organizational and communication skills. The role demands adaptability in responding to requests from brokers, office managers, and senior leadership while upholding the highest standards of professionalism and compliance. As a key team member, the Commission and Compliance Specialist contributes to risk mitigation, broker support, and operational efficiency.
This position reports to the Sr. Commission and Compliance Coordinator and plays a critical role in fostering a structured, compliant, and high-performing operational environment.
Key Responsibilities
Compliance Auditing:
- Review all real estate contracts to ensure legal compliance, advising brokers on necessary corrections or additional requirements in line with WA DOL and NWMLS regulations.
- Identify discrepancies, missing forms, or incomplete documentation that could render a transaction unenforceable or voidable.
- Communicate effectively with brokers to address missing documents or compliance issues.
Commission Management:
- Draft and authorize commission disbursement instructions based on file documentation.
- Process incoming commission funds, performing final audits to ensure compliance prior to broker payouts.
- Prepare and forward transaction files to accounting, ensuring accurate deposit and tracking of commission checks.
- Compile and distribute weekly reports on pending and closed transactions.
Broker Training & Support:
- Train new brokers on compliance and transaction coordination during onboarding.
- Provide ongoing training and guidance to established brokers regarding compliance requirements and best practices.
Cross-Department Support:
- Assist in auditing data from platforms such as new developments to ensure comprehensive compliance oversight.
- Collaborate with internal departments to align transaction processes with company policies and industry regulations.
Your Commitment:
- This position is permanent, full-time, and operates within business hours at the branch location.
- Identify areas for operational improvement and propose solutions to enhance compliance efficiency.
- Maintain confidentiality and professionalism while handling sensitive company information.
Measurements of Success:
- Legal Compliance: Decrease annual legal claims and demands by 75%.
- Risk Mitigation: Maintain a 100% success rate in resolving lawsuits.
- Broker Retention: Reduce annual broker attrition rates to below 20%.
Preferred Experience:
- Active Real Estate Broker license.
- 5 years of real estate experience, with strong knowledge of real estate forms and regulations.
- Strong written and verbal communication skills.
- Impeccable organizational and time management skills.
- Ability to manage competing demands and prioritize work in a fast-paced environment.
- Experience with training brokers on compliance and regulatory best practices.
Required Experience:
- Active Real Estate license.
- Proficiency in MS Office Suite, with a high use of Excel on a daily basis, Slack, Zoom, and team collaboration tools.
- 3 years of real estate sales or equivalent experience.
- Strong attention to detail and ability to manage multiple priorities.
