We are seeking a full-time VIP Listing Concierge Coordinator to support The Studio’s VIP Services Program for Coldwell Banker Realty agents nationwide. The position reports to the Listing Concierge Manager and responsible for accurate, thoughtful and timely processing of listing packages for the company’s top producing real estate agents. This position requires the individual to act as a liaison between the sales associate and various vendor partners. The VIP Listing Concierge Coordinator is responsible for ensuring timely and accurate processing of orders with a primary focus on the very highest level of exceptional customer service.

Essential Duties & Responsibilities include, but are not limited to the following.  Other duties may be assigned.
  • Developing a close-knit rapport with the company's top producers and their team members and how they like to be communicated with (i.e. phone or email) and oblige accordingly in order to deliver the best service.
  • Seamlessly and quickly answering top producer questions about the program and ensure client satisfaction-this requires a high level of confidence of knowledge about the Listing Concierge program.
  • Providing top-notch customer service via phone conversations and written correspondence.
  • Acting as the top producer's point person for their VIP property marketing, making sure all updates about their property's marketing are funneled accordingly through this position.
  • Tracking, in real time, the status of the VIP orders at all times on the company's shared tracking document.
  • Providing assistance to top producers so that they are knowledgeable about how to review their proofs and ensure they do so in a timely manner in order to get their materials on time.
  • Reviewing listing concierge orders and confirm the orders are completed correctly.
  • Reviewing provided listing copy to make sure spelling, punctuation and grammar are correct.
  • Providing assistance to top producers who need help in uploading photos.
  • Working with in-house graphic designer on custom items including brochures, mailers, flyers and client reports. Ensure complete quality and accuracy of these items before delivering the proofs to top producers for their final approval.
  • Working with top producers and/or their team members on any changes.
  • Once the print proofs are approved by top producer, order the print items asap and follow-up with the top producer so they know timing of delivery.
  • Following up with sales associate to ensure e-blast has been proofed and sent when the listing is ready to go on the market.
  • Working with our program partner on top producer custom social media marketing to ensure their custom campaign runs seamlessly.
  • Working with members of The Studio's VIP team to make sure any additional marketing items (i.e. national TV spot, national eCard, national print advertising, etc.) are handled flawlessly and promptly.
  • Working with in-house graphic designer to create marketing overview for seller (with all links) and send to agent.
  • Ordering previously proofed Just Sold cards when the listing has sold.
  • Sending out Stella Connect satisfaction rating the program and assistance towards the end of the order.
Qualifications:

  • 4-5 years or more of customer service and administrative experience
  • Prior real estate experience preferred
  • Excellent communication and interpersonal skills, ability to build strong professional relationships
  • Capable of working with a diverse group of individuals and personalities
  • Accuracy and a strong attention to detail
  • Demonstrated ability to work collaboratively
  • Ability to follow direction and utilize critical thinking and problem solving skills
  • Strong ability to multitask and effectively perform in a fast paced environment
  • Proficient in managing problems involving several variables
  • Ability to work under pressure within deadlines
  • Skilled in managing and prioritizing shifting responsibilities
  • Exceptional organization skills
