Position Overview:
The Executive Assistant will support the leadership team by auditing real estate files, ensuring compliance, and managing administrative tasks to maintain seamless operations. This role requires a proactive, self-starting professional with a strong attention to detail and a passion for excellence in a dynamic real estate environment.
Key Responsibilities:
- File Auditing & Compliance:
- Review and audit real estate files to ensure accuracy and adherence to company policies and state/national regulations.
- Address and resolve documentation discrepancies, including contracts, disclosures, and financial records.
- Maintain and organize records for internal and external audits.
- Administrative Support:
- Manage schedules, communications, and task prioritization for the leadership team.
- Prepare reports, presentations, and meeting materials.
- Monitor deadlines and transaction progress to support operational efficiency.
- Proactive Problem-Solving:
- Identify areas for process improvement and recommend solutions.
- Anticipate the needs of the leadership team and act with initiative to fulfill them.
- Numerical and Analytical Tasks:
- Handle financial data with precision, including commission tracking, escrow details, and closing statements.
Requirements:
- Experience:
- Prior experience in real estate, administrative support, or compliance is highly preferred.
- Familiarity with real estate terminology, documentation, and CRM systems is an advantage.
- Skills:
- Exceptional attention to detail and organizational skills.
- Strong numerical and analytical abilities.
- Proficiency in office tools (e.g., Microsoft Office Suite, Google Workspace); experience with real estate software is a plus.
- Excellent written and verbal communication skills.
