What are the responsibilities and job description for the Physical Therapy Administrator position at Rebound Orthopedics & Neurosurgery?
Rebound is looking for a full-time Physical Therapy Administrator is responsible for running compliant, efficient therapy practices in Oregon and Washington, and supervises therapy administrative staff and manages patient access for the physical and hand therapy clinics and oversees the administrative operations of therapy services across the organization, acting as a liaison between therapy, provider clinics and Sr. Administration. This position is also responsible for rehabilitating people with physical disabilities and/or injuries. This position reports to the Chief Operating Officer.
Responsibilities:

- Hire, train and supervise reception staff at all therapy locations. Promote employee engagement and communicate goals. Manage staff schedules. Evaluate performance and provide timely feedback including disciplinary action and compliance with clinic policies and procedures.
- Maintain regulatory standards. Direction and management must be consistent with the policies, objectives, practice standards, and regulatory requirements of Rebound, the states of Oregon and Washington as well as federal regulations. Must be familiar with APTA/AOTA guidelines and therapy scope of practice. Maintain current and future trend knowledge in therapy billing and compliance locally and nationally.
- Manage productivity and patient satisfaction of Therapy Clinics. Track and report the statistics of therapy at least quarterly; prepare board reports at least annually. Manage customer service issues, complaints and productivity.
- Manage reception staff at all therapy locations working in close collaboration with COO, Patient Access Director and Therapy Managers in PT and HT.
- Act as team resource to assigned department and other leaders as needed.
- Promote innovation and best practice methods throughout therapy clinics, identifying areas of improvement to increase efficiencies, setting goals and implementing plans.
- Manage facilitation of orientation of new staff, staff schedules, completion of performance evaluations, disciplinary actions and compliance with clinic policies and procedures.
- Demonstrate knowledge of current leadership, management, and quality improvement concepts. Ability to participate in developing and implementing organizational strategies to address opportunities to improve the delivery of care to patients. Creates and implements policies and procedures and writes protocols.
- Help to restore physical function, improve mobility, relieve pain, and prevent permanent disability. Assist in restoring, maintaining, and promoting overall fitness and health.
- Examine patient medical histories. Test and measure patients’ strength, range of motion, balance and coordination, posture, muscle performance, respiration, and motor function.
- Determine patients’ ability to be independent and reintegrate into the workplace or community after injury or illness.
- Develop plans describing a treatment strategy, its purposes, and its anticipated outcome. Plans often include exercise regimens at the clinic and at home to increase flexibility, strength, or endurance. May use electrical stimulation, hot packs, cold compresses, and ultrasound to relieve pain and reduce swelling.
- Teach patients how to use assistive and adaptive devices such as crutches, prostheses, and wheelchairs.
- Document patient progress, conduct periodic examinations, and modify treatments with emphasis on identification of areas requiring more/less attention.
- May participate in supervising physical therapy students, assistants and aides.
- Enforce policies and procedures, including safety and professional behavior
- Ensures staff and department meet all quality assurance standards including calls answered in a timely manner, patient demographics are complete and accurate, insurance information is verified before appointments.
- Demonstrates excellent conflict resolution skills and is able to appropriately balance competing priorities such as patient access, fiscal stewardship and provider satisfaction.
- Maintain a high degree of confidentiality and abide by all HIPAA rules and regulations.
- Performs other duties and projects as assigned.
Requirements:
Education: Bachelor’s degree required. Masters or Doctorate preferred.
Certificate/License: Physical Therapist License in Oregon and Washington. BLS certified.
Experience: Minimum of at least five years working as a Physical Therapist, 8-10 years preferred. Requires leadership skills and clinical experience in a physical therapy clinic. Prior supervisory experience required. Other education and experience will be considered in lieu of recommended qualifications.
Knowledge, Skills & Abilities: Knowledge of medical practice operations and policy and procedures. Knowledge of computer systems, programs and applications. Knowledge of healthcare administration principles. Skill in gathering, analyzing and interpreting information. Ability to exercise initiative, problem solving, and decision making. Ability to apply policies and principles to solve everyday problems and deal with a variety of situations. Ability to work effectively with patients, staff, physicians and the public. Ability to train, mentor and motivate staff and physicians. Ability to establish effective working relationships with staff, patients, providers, customers, vendors, managers and staff in administrative and support departments. Ability to communicate clearly and effectively, both verbally and in writing. Ability to resolve problems that frequently require skill and ingenuity, balancing a number of factors involving several people to work through solutions.
Typical Physical Demands:
Requires prolonged sitting, some bending, stooping and stretching. Requires eye-hand coordination and manual dexterity sufficient to operate a keyboard, photocopier, telephone, calculator and other office equipment. Requires normal range of hearing and eyesight to record, prepare and communicate appropriate reports. Often having to stoop, kneel, crouch, lift, and stand for long periods. May have to use heavy equipment, lift patients or help them turn, stand or walk. Occasionally must be able to lift and carry 50 pounds. Often demonstrates and helps patients use assistive and adaptive devices such as wheelchairs, walkers, crutches, and canes. Operates physical therapy equipment such as ultrasound, traction, electrical stimulation, and cardiovascular equipment and weights.
Typical Working Condition:
Frequent exposure to communicable diseases, toxic substances, ionizing radiation, medicinal preparations and other conditions common to a clinic environment.
