Position Overview:
The Client Intake Support role is a part-time position that provides vital administrative and operational support to the Intake and Client Relations Specialist. This position helps ensure efficient processing of client applications and supports communication and coordination with clients throughout the intake and service process. The ideal candidate will be detail-oriented, organized, and committed to providing excellent service to clients and the community.
Key Responsibilities:
- Assist in reviewing, organizing, and tracking client applications and documentation.
- Support scheduling of phone assessments, site visits, and client meetings.
- Follow up with clients to gather outstanding documents and provide timely updates.
- Maintain and update client records using Salesforce and other tracking systems.
- Respond to phone calls and emails with professionalism and empathy.
- Assist in preparing materials and logistics for outreach and volunteer events.
- Perform general administrative tasks such as scanning, data entry, and filing.
- Collaborate with team members to ensure smooth intake operations and client support.
- Ensure all client information and interactions are documented accurately and confidentially.
- Support additional intake-related tasks as assigned by the Program Manager or Intake and Client Relations Specialist.
Qualifications:
- High school diploma or equivalent required; some college or administrative coursework preferred.
- Prior experience in an administrative or customer service setting preferred.
- Excellent interpersonal and communication skills.
- Strong attention to detail, organizational skills, and ability to multitask.
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook); familiarity with Salesforce is a plus.
- Ability to work both independently and collaboratively in a team environment.
- Bilingual (English/Spanish) preferred but not required.
- Flexible availability to occasionally support evening or weekend activities as needed.
