We are seeking a detail-oriented and highly organized Clerical Documentation Coordinator to manage and maintain traceability documentation related to our UL 508A and UL 891 production lines. This individual will ensure all documentation complies with UL standards, supports internal audits, and facilitates production and quality control. Summary:
We are seeking a detail-oriented and highly organized Clerical Documentation Coordinator to manage and maintain traceability documentation related to our UL 508A and UL 891 production lines. This individual will ensure all documentation complies with UL standards, supports internal audits, and facilitates production and quality control. This is a full-time, in person role, reporting to our West Gastonia location.
Key Responsibilities:
- Maintain accurate and complete records for UL 508A and UL 891 production builds, including BOMs, wiring diagrams, inspection forms, and component traceability logs.
- Organize and archive production documentation in physical and/or digital formats according to company and UL requirements.
- Coordinate with production, engineering, and quality teams to collect and verify documentation during various stages of manufacturing.
- Assist in preparation and retrieval of records for internal and external audits (e.g., UL inspections).
- Track and update documentation as changes occur (e.g., ECNs, revisions).
- Ensure labeling and identification of parts and subassemblies meet UL traceability requirements.
- Monitor documentation for completeness and notify appropriate personnel of any discrepancies or missing records.
- Assist in filing Certificates of Compliance and vendor material certifications as needed.
- Support clerical and administrative tasks related to quality and compliance.
- High school diploma or GED required; Associate degree preferred.
- 2 years of clerical or administrative experience in a manufacturing or quality control setting.
- Familiarity with UL 508A and UL 891 standards strongly preferred.
- Strong attention to detail and excellent organizational skills.
- Proficient in Microsoft Office (Word, Excel, Outlook); experience with document control systems is a plus.
- Ability to read basic wiring diagrams and BOMs is a plus.
- Strong written and verbal communication skills.
- Ability to work independently and collaboratively across departments.
