Summary of Job: The Administrative Coordinator is responsible for overseeing the daily administrative operations of their designated program(s). This role includes managing office functions, supporting clinical and administrative teams, handling financial and billing processes, ensuring compliance with healthcare regulations, and maintaining efficient workflow within the department. The Administrative Manager serves as the key liaison between administrative staff, clinical teams, guests, and external partners, contributing to the overall success of Recovery Innovation’s mission to provide quality behavioral health services.
- Guest Care & Advocacy:
- Greet and assist visitors when they arrive at the office.
- Answer telephones, program reception, triage phones calls and gather pertinent information from callers to accurately log the data elements.
- Facilitates incoming referrals ensuring review and completeness for each referral.
- Team Leadership:
- Train administrative support staff such as Customer Service Specialist, Transportation Specialist, and any additional ensuring high performance and adherence to organizational policies.
- Maintain staff schedule to ensure program coverage.
- Assists with the onboarding and offboarding of new employees by coordinating the distribution and collection of keys, equipment and setting up appropriate workstations including finalizing equipment installation.
- Prepare and process designated invoices and expense reports.
- Maintain office supply inventory and coordinate with vendors for orders and repairs.
- Oversee maintenance of office equipment, facility cleanliness, safety protocols, and ensuring compliance with health regulations and standards.
- Compliance & Risk Management:
- Enter guest data in electronic health records (EHR) systems, ensuring accuracy and confidentiality of guest information.
- Track key/FOB control including overseeing all inquiries, tracking and inventory of keys/FOBs.
- Serves as a point of contact concerning the vehicle fleet and operations for the organization.
- Understands and adheres to Recovery Innovations compliance standards as they appear in the Code of Conduct and Conflict of Interest Policies.
- Keeps abreast of all federal and state regulations and laws and all Recovery Innovations policies and procedures as they presently exist and as they change or are modified.
- Ensures compliance with all contractual, accreditation and funding requirements for service delivery, documentation, etc.
- Cross Functional Collaboration:
- Assist the leadership team with special projects as needed, such as program expansions, grant reporting, or community outreach initiatives.
- Additional Duties:
- Performs other related duties as assigned.
- Education/Licenses:
- High school diploma or equivalent.
- Experience:
- Minimum of one (1) years of full-time behavioral health experience.
- Minimum of one (1) years of supervisory experience preferred.
- Skills:
- Basic computer skills.
- Effective communication skills.
- Must be able to pass de-escalation training, as defined by state requirements.
- Driving Requirements:
- If driving is required for this position, must meet all requirements outlined in Recovery Innovations driving policy.
- If not qualified to drive per driving policy, a Non-Driver Attestation form must be signed.
- Miscellaneous Requirement(s):
- Travel required based on business need.
- Must be at least 18 years old unless residing in a state where funder or government regulations set a different minimum age requirement.
- Ability to maintain a high level of confidentiality (HIPAA guidelines and regulations) and professionalism.
