What are the responsibilities and job description for the Special Events Planner position at Recreation Centers of Sun City West?
Plans, organizes, oversees, and evaluates the activities, budget, facilities and equipment, staff, contractors, and volunteers for RCSCW Special Events.
ESSENTIAL DUTIES AND RESPONSIBILITIES:

Plans, coordinates, implements and evaluates a variety of recreation activities and specialized events utilizing appropriate marketing techniques for the unique demographic of an adult planned retirement community.
- Develops and implements innovative and interesting activities, events, and programs for the association
- Train, assign, supervise, and evaluate, in conjunction with the Recreation Manager, volunteer and support staff
- Monitor program compliance and related laws, policies, and regulations i.e., food & beverage
- Ability to work with staff to ensure appropriate staging and sound systems are appropriately deployed.
- Exercises good judgment, flexibility, creativity, and sensitivity in response to changing situations during scheduling and event activities
- Evaluates program effectiveness and creates reports from completed programming and data resources to include ticket sales and community feedback
- With oversight and assistance from the Recreation Manager, participates in negotiations for entertainment contracts
- Assists the Box Office with creative design, marketing support, ticketing support and other duties essential to the running of the Box Office
- Assists Box Office and community members verbally and in writing, regarding the scheduling process for event availability, pricing, subscriptions and seat selections and explanation of policies and procedures
- Communicates and uses people skills to interact with coworkers, supervisors, and the public to efficiently convey and exchange information in a positive and professional manner
- Maintains consistent records of acceptable attendance & punctuality according to policy guidelines
- Evening, weekend, and holiday work required
- Self-management with supportive input and approval from the Recreation Manager ensuring proper monitoring of time management and of overtime hours.
- Understand the procedures of SCW clubs to help promote their activities and build a partnership with the Events Department and Chartered Clubs groups
- Ability to work independently
- Maintains a regular and consistent record of onsite attendance and punctuality according to policy guidelines.
- Performs other duties as assigned
SUPERVISORY RESPONSIBILITIES
Responsibilities will include interviewing and training employees with direct oversight of the Recreation Manager.
QUALIFICATIONS

EDUCATION and/or EXPERIENCE:
Sufficient Training and education to demonstrate possession of required knowledge, skills and qualifications are required.
- Bachelor's Degree in related field and 2 years related recreation management experience, or an equivalent combination of education and experience serving active adult communities
- Must have advanced knowledge and experience using Microsoft Office Suite to include Publisher and Excel
- Community services program planning, administration and supervision principles and practices
- Events planning from conception to completion
- Marketing theories, principles, and practices
- Knowledge and experience with record keeping methods, processes, and procedures knowledge of best safety practices within a work environment
- Creating applicable age-appropriate activities, programs, and materials
- Understanding and ability to review statistics of community demographics
- Solid working knowledge of relevant applicable federal, state, and local laws, codes, regulations, policies, rules and regulations with respect to include food and beverage service
- Knowledge of Ticketing software(s)
CERTIFICATES, LICENSES, REGISTRATIONS
Valid Arizona driver's license and good driving record for insurance purposes. Valid driver’s license must be maintained at all times. Able to obtain and maintain for duration of employment, Certified Food Protection Managers Card within 30 days of hire.
PHYSICAL DEMANDS
Work is conducted in a dynamic, fast-paced office and event settings with moderate to loud noise levels. The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

Pay: $22.69 - $27.40 per hour
