We are seeking a professional, organized, and detail-oriented Temporary Employee to fulfill the Front Desk Reception responsibilities and serve as the first point of contact for visitors and employees at one of our clients sites. This role ensures smooth front office operations, provides administrative support and maintains a welcoming environment.
Key Responsibilities:
- Answer, transfer, and direct phone calls promptly and professionally.
- Manage employee entrance monitor and grant access as needed.
- Welcome visitors, notify employees of arrivals and create a positive first impression.
- Notify employees of package deliveries or personally deliver them.
- Using Word document type, print and display welcome signs for visitors and new employees.
- Order office supplies and water, comparing vendor prices for cost-efficiency.
- Approve supply and water orders, and review invoices for accuracy.
- Collect, sort, and distribute incoming mail.
- Scan invoices for the Accounts Payable department.
- Maintain and update logs for vehicle usage, including mileage, gas needs, and mechanical issues.
- Distribute van keys and ensure accurate recordkeeping.
- Perform other clerical tasks as assigned to support office operations.
Education/Qualifications/Skills:
- High school diploma or equivalent.
- Bi-lingual (English/Spanish) is a plus.
- Maintain high standards of confidentiality for employee records and information.
- Exceptional follow-up and follow-through skills.
- Proficiency in Excel, Word, PowerPoint, and Outlook.
- Professional and confident demeanor.
- Self-motivated with a proactive attitude.
- Detail-oriented with strong organizational skills.
Work Hours:
Monday to Friday, 8 AM - 5 PM with a 1-hour lunch break.
Physical Requirements:
- Ability to sit for extended periods and perform repetitive tasks such as phone use and typing.
- Occasionally lift items up to 20 pounds (e.g., office supplies or packages).
Job Types: Full-time, Temporary, Contract
Pay: $15.00 - $18.00 per hour
Expected hours: 40 per week
