SUMMARY
Provides advanced clerical and administrative support to departmental Managers, and assists in coordinating all aspects of daily operations, including recording and reporting data. This position is more experienced in an administrative/operational support role and may be expected to perform at a higher level of responsibility and with minimal supervision in comparison to the entry-level specialist position. Duties and tasks are varied and may be somewhat complex. Resolves most questions and problems and refers only the most complex issues to higher levels.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
MAINTEANCE/ OPERATIONAL DUTIES
· Works directly with Maintenance Manager on-site to ensure compliance with the preventative maintenance schedules for Battle Creek and Grand Rapids.
· Create, update and distribute the preventative maintenance schedule for all equipment for Detroit and Ann Arbor locations.
· Maintains knowledge of maintenance software; TATEMS.
· Review Maintenance work orders for accuracy.
· Maintains maintenance software by entering work order data for the Grand Rapids shop.
· Works directly with Maintenance Supervisors and the Sylvania Maintenance Coordinator to track maintenance projects and projects related to incidents/accidents.
· Manages fuel levels for all Grand Rapids/Battle Creek area tanks.
· Assists Safety Manager, Maintenance Manager and Driver Operations Manager with day-to-day activities as needed and directed.
· Checking in, review and scan driver paperwork to dispatch and accounting departments daily.
· Assist area supervisors in tracking data related to company incentive pay programs.
· Maintains and distributes department-related information daily.
· Communicates with other supervisors and managers about operations and/or dispatch issues.
· Assists in the implementation of operational projects as needed.
· Completes and maintains a variety of reports for Maintenance/Operations as directed by area managers/supervisors.
· Communicates with customers about service issues as needed.
· Communicates with employees about scheduling and work assignments as needed.
HR DUTIES
· Acts as HR liaison for onboarding new hires. (EASE/Paychex)
· Assists Site Manager with Time and Attendance tracking/adjustments
· Manages uniform process for Battle Creek and Grand Rapids.
· Maintains knowledge of Paychex Flex App, Paychex Time Clock, EASE Registration
· Communicates with HR Manager regarding interviews, employee HR related questions/issues and any time and attendance issues.
OFFICE DUTIES
· Filing and organization of office.
· Uses software tools to manage various tasks, such as procurement, time and attendance, safety incidents, and contract labor.
· Copying, faxing, and scanning, data entry, and general office duties.
· Performs other duties as assigned.
SUPERVISORY RESPONSIBILITIES
This job has no supervisory duties.

EDUCATION and/or EXPERIENCE
High School Diploma or GED required. Knowledge of Transfer Station operations and general office administration duties. Knowledge of DOT is a plus but not required. Microsoft Office Software experience is a plus but not required.

LANGUAGE SKILLS
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to communicate effectively with customers and vendors in person, on the phone, and via other electronic methods.
