This role also provides administrative support to the studio, ensuring efficient operations and communication. Key Responsibilities:
Scheduling Duties:
- Develop and maintain the studio's daily, weekly, and monthly schedules, ensuring all projects, shoots, and events are accurately planned and communicated to the team
- Ensure each event has accurate and updated information, along with the appropriate staff scheduled for the event
- Follow up with customers to gather any necessary information to ensure successful event execution
- Handle last-minute scheduling changes, cancellations, or adjustments, communicating these updates promptly to all relevant parties
- Work with the technical director to manage the booking and scheduling of freelancers and external contractors as needed, ensuring coverage for all studio activities
- Maintain a detailed calendar studio activity, including shoots, editing sessions, meetings, and other events
- Send out the daily schedule to all staff and shareholders by 8:00 AM each day
- Enter freelancer invoices into a spreadsheet tracker and assist with budget tracking and reporting
- Maintain and update contact lists for freelancers
- Act as a liaison between studio staff and external government broadcast team
- Communicate schedule updates, changes, and other relevant information to the studio team promptly and effectively
- Ensure clear communication between studio staff, freelancers, and clients regarding project timelines and deliverables
- Coordinate with the Program Manager and other team members to ensure smooth workflow and adherence to deadlines
- Collect and prepare weekly and monthly reports, ensuring they are accurate and free of formatting and spelling errors
- Review all reports for accuracy and make necessary corrections before submission
- Track and report on studio usage and number of events
- Assist with the preparation of year-end reviews and reports as required
- Provide support during events, shoots, and live broadcasts as needed, including logistical coordination and on-site assistance
- Assist with onboarding new staff and freelancers, ensuring they are informed of studio policies, schedules, and expectations
- Support team meetings by preparing agendas, taking notes, and following up on action items
- Proven experience in scheduling, office administration, or a related role, preferably in a broadcast or media environment
- Excellent organizational and time-management skills
- Strong communication skills, both written and verbal
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and scheduling software
- Ability to work independently and as part of a team
- High level of attention to detail and accuracy
- Ability to handle multiple tasks and prioritize effectively in a fast-paced environment
- Familiarity with broadcast studio operations and terminology is a plus
- Experience working in a broadcast, media, or production environment
- Familiarity with scheduling software or tools used in media production
- Knowledge of inventory management and office administration
