We are seeking a meticulous and detail-focused Billing Clerk to handle service service department invoicing, warranty, & insurance claims in our dealership.
The Service Billing Clerk responsibilities include creating or reviewing service invoices for equipment repairs, receiving insurance or warranty claims, reviewing the validity of the claim, processing the claim, and communicating with customers, technicians, and manufacturers.
Our ideal candidate is well-versed with repair billing, warranty terms and conditions and demonstrates excellent problem-solving skills.
Ultimately, the role of the Service Billing Clerk is to ensure that all service invoices, warranty or insurance claims are handled efficiently and effectively, ensuring customer satisfaction and ensure dealership billing recovery.
Responsibilities
- Create and monitor service department invoices
- Receive and review warranty claims from service techs
- Receive and review insurance claims from customer/ insurance
- Verify the validity and/or gather more details of all claims
- Process warranty and insurance claims in a timely manner
- Coordinate with manufacturers and service technicians regarding invoicing issues
- Maintain records of all invoice claims and their status
- Communicate with customers regarding the status of service
- Ensure adherence to company policies and procedures in processing billing and claims
- Address customer inquiries and resolve any service-related issues
- Answer phones and provide excellent customer service
- Maintain and report recoveries or outstanding issues
- Continue learning and improving service department related information
- Coordinate with parts dept, service techs, and management on tickets, bulletins, returns, ect
Qualifications
- Proven experience as a Billing or Warranty Clerk or similar role
- Excellent knowledge of service terms and conditions
- Familiar with parts breakdowns and/or labor coding
- Strong problem-solving skills
- Excellent communication and customer service skills
- Strong organizational and multitasking abilities
- Attention to detail and accuracy
- Proficiency in MS Office, typing and dealer management systems
- Eager to find resources and learn industry information or improve job related skills
- Self motivated to find and complete outstanding task to further dealership success
- High school diploma; further training will be a plus
Job Type: Full-time
Pay: $16.00 - $18.00 per hour
Expected hours: No more than 40 per week
