Overview
We are seeking a dedicated and organized Office Manager Assistant to join our team. The ideal candidate will play a vital role in ensuring the smooth operation of our sales office by providing administrative support and greeting sales prospects. This position requires a proactive individual who can handle multiple responsibilities while maintaining a high level of professionalism with guests and home owners.
Includes weekend coverage and 3 days during the week – this can be worked out with Office Manager.
Job Duties:
Administrative Support:
- Greet and assist prospects, members, guests, vendors, and staff in a professional and friendly manner
- Answer, screen, and direct incoming calls for sales prospects and various departments
- Schedule and coordinate internal meetings, team calendars, and conference room usage
Office Operations:
- Assist with managing office supplies and placing orders as needed. Keep breakrooms and bathrooms fully stocked.
- Maintain tidiness and organization of shared spaces (kitchen, copy room, meeting areas)
- Coordinate with IT or vendors for equipment servicing or repair requests
- Support logistics for onsite meetings, trainings, or events (setup, refreshments, materials)
Record Keeping & Documentation:
- Assist with basic data entry tasks in various system software
- Run Brightdoor reports; you will be trained on the system
Cross-Departmental Coordination:
- Assist with onboarding new hires
- Coordinate with Real Estate agents, Member Services, Member Coordinator, ARC Manager, Red Ledges Home Services, Red Ledges Maintenance, HR, RL Homebuilding, and Accounting teams to streamline communications
- Track deadlines or document submissions needed across departments
Communication & Member-Facing Tasks:
- Draft and send simple member notices or staff updates under Office Manager guidance
- Assist with managing club event RSVPs or staff volunteer scheduling
- Open house assisting for developer homes (refreshments, marketing materials, shoe covers, turning on/off lights)
- Support front desk reception coverage during breaks or absences AND weekends
Miscellaneous & Special Projects:
- Run local errands (e.g., post office, office supply runs, refreshments for meetings, sales vehicle – car wash, detailing, re-fueling, oil changes, tire rotations, etc)
- Support seasonal projects (e.g., holiday cards, event prep, annual reporting)
- Help with special initiatives led by the Office Manager, General Manager, or CFO
- Prepare for Discovery guests – responsible for cabin prep, welcome baskets, cards, etc
- Responsible for closing up developer inventory, if an agent is unavailable
Job Type: Full-time
Pay: From $25.00 per hour
Expected hours: 32 per week
