Red River Animal Emergency Hospital & Referral Center is seeking a dynamic and proactive Veterinary Referral Coordinator to join our growing team! In this role, you will be responsible for managing referral processes, building and fostering relationships with referring veterinarians, and supporting the hospital’s marketing and community engagement efforts. You will act as the primary point of contact for our amazing referring practices, clients, and will help expand our referral base for all of our new specialty services! Key Responsibilities
Referral Services:
· Support and lead all aspects of our referral department
· Coordinate and manage referral workflows, ensuring timely communication between referring veterinarians and our specialty departments
· Collaborate with internal teams, including specialists, technicians, and administrative staff, to enhance the referral experience
· Have an extensive knowledge of our hospital and each of its services and what they offer to ensure efficiency with scheduling and for communicating services to clients and referring clinics
· Serve as the primary point of contact for referred clients, managing their journey from initial consultation to case closure
· Daily review of incoming patient referrals for Internal Medicine, Surgery, Oncology, and Emergency services to ensure the cases are ones we can offer services to and to know what department would be best to schedule the case with
· Work with our Client Services Department to make sure we have records, images, and all necessary medical records for each referral case so that they can be reviewed and scheduled in a timely manner
· Coordinate and schedule referrals for all RRAEHRC departments, to include training CSRs on departmental workflows and scheduling requirements
· Maintain accurate records of referrals, along with communication with referring clinics and clients in our EMR system
Referral Outreach:
· Take the initiative to develop and expand our referral base by actively reaching out to new primary veterinarians and maintaining long-term relationships with current partners
· Ensure referring veterinarians view RRAEHRC as a trusted partner for their referrals
· Act as the liaison between RRAEHRC and referring veterinarians, addressing concerns promptly and ensuring their needs are met
· Maintain, update, and troubleshoot our referral portal for RRAEHRC staff and referring veterinarians. Ensure RRAEHRC referring clinics are updated and current, including doctors in EMR software
· Organize and facilitate outreach initiatives, including in-person clinic visits, continuing education (CE Events), and networking opportunities
· Develop targeted marketing materials to promote the clinic’s services to referring veterinarians, including videos, emails, and print materials
· Monitor referral trends, track key metrics, and keep detailed records of all referral related activities. Provide regular reports to Medical Director and Practice Manager
· Represent the hospital at industry events, conferences, and networking functions
Requirements & Qualifications:
- Experience in veterinary medicine, referral coordination, or a related field preferred.
- Strong interpersonal and communication skills to build and maintain professional relationships.
- Excellent organizational and problem-solving abilities.
- Ability to work independently and collaboratively in a fast-paced environment.
- Marketing experience, preferred
- Proficiency in Microsoft Office

Salary: $23 - $26 an hour (Dependent upon experience, knowledge, and skill)
Schedule: Monday – Friday (routinely no weekends or Holidays) some flexibility is required for clinic visits, events, functions, etc
