Position Summary
Under general supervision, interprets travel orders and counsel’s military and civilian personnel, including family members, on their applicable travel requirements and provides movement services within those parameters. Aids all branches of service within the defined area of responsibility.
Essential Functions of the Position
- Serves as Transportation Assistant for personnel regarding the shipment, receipt and/or storage of personal property and household goods.
- Determines entitlements of military personnel, their dependents, and civilian employees in connection with domestic and international shipment, delivery, storage, diversion, and reshipment of household goods, unaccompanied baggage, privately owned vehicles, mobile homes, and boats.
- Provides information to military personnel, DOD civilian personnel and their dependents regarding member's personal property through informational briefs in an individual desk- side appointment, telephonic or in a classroom setting.
- Processes self-counseled applications and maintains a customer scheduling system.
- Reviews applications, orders, and other documents for completeness, accuracy, and legality of entitlements. Screens Orders for correct appropriation and authorization for shipment
- Advises member or dependents regarding shipment of special items, the liability of the commercial carrier for loss and/or damage of these items, availability of additional insurance from the carrier, and advises member of excess costs involved in the shipment of such items.
- Computes excess cost for service members released from active duty who have shipments that are overweight or have excess distance.
- Collects excess costs from service member when warranted.
- Computes costs for comparisons when property owner wants to make two shipments of household goods or part of the household goods as Government Bill of Lading (GBL) shipment and part as a Personally Procured Move (PPM)/Do-it-Yourself (DJTY) move.
- Computes estimated excess cost for active-duty member who have excess weight and/or distance, Computes GBL cost for Civilian Personnel Office when a civilian is moving at government expense. Computes proportionate costs to be borne by owner resulting from excess weight, distance, and/or storage.
- Distributes documents, assembles forms provides instructions for shipping Privately Owned Vehicles (POVs) overseas, obtains statements from customer with attempted pickup or delivery, prepares daily statistical reports, receives visitors, and refers to correct person.
- Support military units in securing most advantageous/cost effective mode of transportation to scheduled training.
- Will coordinate with commercial carriers by using USTRANSCOM GOPAX system.
- Will maintain an updated list of qualified carriers/agents.
- Will prepare and submit final move packets.
- Review GCCC for accuracy and process for payment.
- Update and maintain Passenger Travel Spreadsheet daily.
- Ensure customer flight requests are accurate, complete and provide funding.
- Assist customers with flight requests and verify travel order to ensure accuracy, line of accounting, Patriot availability, and dependent travel.
- Advise customer of possible excess costs.
- Reschedules travel plans as requested by the customer.
- Provide informational material to customers.
- Provides reports and statistical data of all transportation activities.
- Performs other relevant duties as assigned.
Supervisory Responsibilities
No direct supervisory duties.
Physical Demands
- Required to walk, stand, sit, and move about the property for long periods of time.
- Ability to lift and/or move up to 50 pounds.
- Required to performs physical activities that require considerable use of the arms and legs and moving the entire body, such as climbing, lifting, balancing, stooping to handle materials.
Work Environment
- Indoor/Outdoor; exposure to external environmental conditions possible.
- Noise level can range from minimal to intense.
- PPE will be worn in designated areas as required.
Minimum Qualifications
- Excellent written and verbal communication skills.
- Proficient in using Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Must be able to speak, write, read, and understand English.
- Must be adaptable, flexible, and able to adjust to new or changing instructions.
- Must be able to multi-task and complete assignments accurately and on time.
- Customer-service oriented.
- Ability to maintain high standards of confidentiality.
- Must be able to work both as part of a team and independently.
- Must have a high school diploma or equivalent.
- A minimum of 1 year experience in a related field is required.
- Candidate filling Position will require a National Agency Background Check and obtain computer access.
- Possess a valid drivers’ license.
- Must be eligible to obtain SECRET clearance, if required.

- Must be a US Citizen.
- Must be able to pass a National Criminal Background Check.
- Must pass the National Agency Background Check and obtain computer access.
This is your primary position. Alternate positions will only be engaged at the direction of the supervisor.
