The Role:

red violet is seeking a full-time, In-Office Assistant to provide general office and administrative support to our Boca Raton team. This role involves handling a variety of tasks, including ordering office supplies, greeting guests, distributing mail, managing correspondence, and answering and directing incoming calls. The Office Assistant will also take on additional responsibilities as assigned to ensure smooth day-to-day operations.


What You Will Do:

  • Receives, sorts, and delivers incoming mail. Maintains and routes publications. Coordinates the pick-up and delivery of express mail services (FedEx, UPS, etc.).
  • Greets, directs, and monitors visitor access and maintain security awareness.
  • Responsible for maintaining and organizing the supply room and the breakroom. This includes the cleanliness of the breakroom, determining office supply needs, ensures there is enough back stock and actively researches for cost efficiencies through ordering, receiving, stocking, organizing, distributing, refilling, etc.
  • Assists with the preparation and execution of company meetings and events. This includes but is not limited to weekly lunches, booking venues, organizing catering, and booking all travel reservations.
  • Oversees reception telephone and directs calls to appropriate team members or information as needed.
  • Assists departments with other related administrative duties such as photocopying, faxing, filing, and collating. This may include preparing correspondence, documents (in Word, Excel, PowerPoint and Outlook), and expense reports (Concur).
  • Serve as the liaison between Property Management and the company. Submit work orders through online portal when requested and as needed.

  • This role requires siting, standing, reaching, lifting, bending, kneeling, stooping, climbing, pushing, and pulling items weighing 30 pounds or less.


What You Bring:

  • Minimum of one year experience as an office admin. receptionist, or customer service experience required.
  • Minimum of a High School diploma.
  • Excellent organization and communication skills.
  • Working Proficiency of relevant software applications (Outlook, Word, Excel, PowerPoint).
  • In office daily Monday to Friday from 8 am - 5 pm.
