We are seeking a highly organized and detail-oriented Business Office Assistant to join our client's team, located near Nassau, NY. This position reports to the Director of Finance / Business Manager and plays a key role in supporting the financial operations of the organization. The ideal candidate will have strong organizational skills, experience in accounting or business office practices, and proficiency with Google Suite and QuickBooks. Responsibilities of the Business Office Assistant will include : -Support the financial operations of the organization in alignment with the directives of the Director of Finance and leadership team.-Perform daily bookkeeping tasks, including cash flow management, billing, accounts receivable and payable, check and cash handling, bank reconciliation, and payroll preparation.-Assist in compiling financial data and documentation for audits, including IRS and Worker's Compensation audits.-Communicate with clientele regarding account inquiries, including overdue balances.-Ensure compliance with federal, state, and local tax regulations.-Prepare reports for various organizations and state mandates as needed.-Process certificates of insurance requests and support annual financial audits.-Manage business office mail and distribute departmental budgets.-Perform office management tasks such as filing, organizing, and maintaining records.-Process accounts payable transactions efficiently and accurately.-Verify invoices and requisitions, ensuring adherence to financial policies.-Resolve billing discrepancies and allocate expenses properly.-Maintain accounts payable records and vendor files.-Reconcile organizational credit card accounts.-Record contracts and oversee payment collections.-Manage clientele accounts and record cash receipts promptly and accurately.-Assist with payroll setup and maintenance of employee records.-Process payroll data with accuracy and timeliness.-Prepare manual checks and annual 403b account disclosures.-Maintain employment agreements and related documentation.Qualifications of the Business Office Assistant : -Associate degree in accounting (preferred).-Knowledge of accounting principles and business office practices.-Previous experience in a business office or similar setting (preferred).-Proficiency in QuickBooks, payroll software, Google Suite, and MS Office (Excel, Docs, Sheets, and Slides).-Strong interpersonal, communication, and analytical skills.-Excellent attention to detail, organizational skills, and ability to multitask.-Ability to maintain confidentiality and work independently or as part of a team.-Experience in payroll administration and report preparation.-Familiarity with not-for-profit settings (preferred). Pay for this position is commensurate with experience and education, ranging roughly from $21-$25 / hr.
