Interim Support Representative (Rep) Payee (a Finance Manager/Bookkeeper) with accounts receivable, accounts payable, banking, billing and accounting for all Residential Clients. A Rep Payee's responsibilities include using the client’s benefits to pay for the beneficiary's current and future needs, saving any remaining benefits, and maintaining detailed records of all expenses.
Duties And Responsibilities
- Residential Services Client Finances - Pay bills for residential clients including rent, utilities, phone, etc.
- Daily Reconciliation - Download bank transactions daily for all residential clients.
- Bank, EBT, and Petty Cash Reconciliations - Every month reconcile bank, EBT and petty cash accounts and organize and maintain all receipts for all residential clients.
- AR Aging - Ensure open invoices are paid back and collected. Monthly oversight of aging and RAR reports and follow up on spreadsheets with changes.
- Quarterly Reports - Produce quarterly reports for all residential clients.
- Monthly Client Budget Sheets - Create and upload monthly reports for each client and input into the drive.
- Client Financial Assistance - Continuously review, seek and apply for any applicable financial assistance each client would qualify for.
- Residential Allowance Requests -At the beginning of each month complete residential allowance requests for the previous month for clients that need extra financial assistance. Work closely with the case manager at DDA to coordinate these requests.
- Individual Financial Plans – Write Individual Financial Plans for all residential clients as well as a monthly budget for the year. Make sure the IFP is signed by the family and the manager of residential services.
- Documentation - Within the company Drive collects and maintains all necessary and appropriate documentation.
- Ensure annual IFP’s are current and signed by each client or representative
- Track and support with compliance and documentation.
- Rep Payee – If the family chooses to have SAILS Group - Washington be the Rep Payee fill out the Rep Payee paperwork and make an appointment with Social Security to get Rep Payee status. Set up a bank account for the client so that their social security check can be directly deposited into their account.
- The checking or savings account used by the payee must show the beneficiary as the owner of the funds and the payee as the financial agent. The payee and any third parties cannot own the account, and the beneficiary cannot have direct access to it
- QA -Visit client’s homes and audit funds and client site money ledger. Report discrepancies in the homes and in general accounting immediately to the Financial Director, Residential Director and Area Director.
- Retrieve the mail on a daily basis and ensure proper departments receive their mail.
- Communicate and follow up with Social Security for any tasks that Washington State Rep Payee’s may need support on.
- Model a positive, proactive and priority-focused communication style which encourages collaboration and allows space for all voices to be heard, with the goal of improving the quality of life of our team and our clients.
- Complete DSHS reviews, housing assistance recertification paperwork, and documentation for SSA, as needed.
- Maintain professional working relationships with DDA, guardians, alternate rep-payees, landlords, service providers, and other members of the community.
- Implement and monitor compliance with DDA/SSA regulations and policies, WACs, and Sails WA policies and procedures. Provide feedback to the Administrators as needed.
- Assist program clients with outside Rep Payees to complete required documentation and services.
- Perform other duties as assigned.
- High school diploma (or equivalent), College degree preferred or equivalent experience
- Generally accepted accounting principles

- Previous bookkeeping experience preferred
- Previous Rep Payee experience preferred
- Ability to perform mathematical calculations accurately, including percentages, fractions, decimals, and simple mathematical formulas.
- Ability to solve practical problems and follow written, verbal or other instructions with several concrete variables.
- Attention to detail and the ability to organize complex information neatly and accurately.
- Ability to compose original correspondence, write reports, have effective interaction with people, and to communicate ideas and receive and process information from others.
- Ability to learn a systematic approach to accounting and to follow the approach without direction to maintain the integrity of the financial data of the agency.
- Ability to operate computer equipment, business equipment and other general office equipment.
- Must be located in & eligible/authorized to work in the United States
- Must pass a Washington State background check
- First Aid/CPR Certified (within 120 days of employment, training can be provided)
- Blood Borne Pathogen (within 120 days of employment, training can be provided)
- Need to obtain CPI Blue Card
