What We’re Seeking:
We’re seeking a Project Administrator to join our rapidly growing team. The ideal candidate will be a key coordinator and communicator within the department and across the organization and will provide administrative support, collaborate with team members, streamline processes and procedures, and assist with various tasks. This individual must be able to function effectively in a dynamic environment with little supervision and be passionate about joining a fast-paced, mission-driven organization.
What You’ll Do:
- Assist with invoice administration and tracking; follow up with vendors for clarification.
- Facilitate or lead the scheduling of meetings with third- party stakeholders.
- Organize and coordinate site meetings with property management.
- Order third party reports, schedule third party inspectors.
- Assist and support relocation tasks, including providing oversight over relocation staff.
- Research cost data/metrics for specific development tasks across different projects.
- Update specification standards and maintain sample library.
- Manage furniture, and art purchasing/install for new buildings.
- Coordinate electronic and physical file management and policies.
- Collect relevant documentation, write, edit, and publish in.
- Track RFIs and construction submittals.
- Assist in collecting due diligence materials when purchasing a property and checklist materials for lenders and investors during closing process, Research funding opportunities by region and assist with researching and vetting vendors by region (movers, cleaners, pest control, etc.).
- Track training and conference registrations.
- Manage departmental contacts and the intranet/SharePoint page.
- Assist with troubleshooting day-to-day departmental issues.
- Collaborate with other teams to resolve administrative problems.
What You’ll Bring:
- At least 2 years of experience in project coordination, design, construction, engineering, site observation or equivalent experience.
- Experience providing administrative support in a collaborative team environment.
- Proficiency with Microsoft Office 365 platform: Outlook, Excel, Word, PowerPoint, as well as and Adobe Acrobat and InDesign.
- Excellent judgment, attention to detail, relationship management, and problem-solving abilities; demonstrated ability to earn credibility and influence opinion leaders.
- Outstanding time management and organizational skills with an ability to multi-task, prioritize work, manage deadlines, and track deliverables in a fast-paced environment.
- High-energy team player that is a self-starter that can work proactively with limited supervision.
- Exceptional analytical and quantitative skills and effective presentation and communication skills, both verbal and written.
- Strong ethics and integrity.
