What are the responsibilities and job description for the Customer Service Coordinator position at ReedTMS Logistics?

Our Customer Service Coordinators are responsible for communication with customers, shippers, and receivers. This includes developing a familiarization with each entities’ processes to schedule pickups and deliveries as necessary. One must be comfortable communicating via phone and email both internally and externally. Customer service coordinators must demonstrate exceptional time management skills and an ability to prioritize assignments.

ESSENTIAL FUNCTIONS:

  • Understand ReedTMS system in terms of customer profiles, dispatch system, customer service, reporting, A/R inquiry.
  • Continuously update customer profiles to maintain shipping hours, appointment requirements, customer-specific requirements and other pertinent information
  • Continuously develop understanding of customer expectations
  • Enter and schedule orders in ReedTMS for customers assigned to them
  • Enter appointment times in web-based customer TMS systems
  • Enter all scheduling info in pop-up field customer profile in case of reschedule for Carrier Sales Team
  • All orders entered by data entry clerk must be double checked for accuracy in terms of rates, fuel surcharges, accessorial charges and mileage
  • Develop understanding of auto rating system in ReedTMS
  • Knowledge of EDI processes for accepting tenders and updating customer websites
  • Knowledge of indexing system to ensure customer requirements, contracts and pricing support for each load are included in the system
  • Other duties as assigned.

Experience and Skills
EXPERIENCE:
Six months to one year related experience and/or training; or equivalent combination of education and experience
EDUCATION:
Associate's degree (A. A.) or equivalent from two-year College or technical school
KNOWLEDGE, SKILLS, ABILITIES:

  • Intermediate mathematical abilities. Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
  • Contract management systems, word processing, spreadsheets.
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions and procedure manuals.
  • Ability to write routine reports, letters and documents.
  • Ability to speak effectively before groups of customers or employees.
