Position Overview:
The Chief of Staff for Reef Real Estate will play a critical role in ensuring the efficient and sustainable growth of the Reef's real estate arm. This individual will provide high-level strategic and operational support to the CEO, CFO/COO, and CDO by overseeing the development and execution of the corporate infrastructure, including the creation and standardization of SOPs, organizational charts, project reporting, and overall real estate operations. The Chief of Staff will drive the alignment of various departments, promote operational efficiency, and manage risk at both the project and portfolio levels.
Key Responsibilities:
Corporate Infrastructure Development & Execution:
- Partner with the executive leadership team (CEO, CFO/COO, CDO) to design and implement a long-term corporate structure for sustainable and scalable growth of the real estate arm.
- Oversee the development and standardization of operational processes, including the creation of Standard Operating Procedures (SOPs) for all projects and operations within the real estate division.
- Ensure efficient project management by maintaining clear organizational structures, staffing plans, and role definitions across all real estate projects.
- Standardize reporting formats, communication processes, and folder structures to ensure all teams are aligned and working from a single source of truth.
Operational Efficiency & Resource Allocation:
- Work with the executive team to ensure the organization operates at maximum efficiency by streamlining workflows and ensuring that employees are performing tasks that align with their highest value work.
- Implement strategies to delegate low-value tasks effectively and ensure the right resources are assigned to high-priority projects.
- Establish and manage a centralized, easily accessible database of institutional knowledge, including historical project data, financial information, and cost projections.
Employee Management & Development:
- Work with directors and managers to implement clear career paths, advancement opportunities, and compensation structures to promote employee retention and growth.
- Foster an environment of ownership, mastery, and purpose across the organization by ensuring employees understand their scope of work, have opportunities for growth, and are aligned with the company's goals.
- Establish standardized and transparent equity vesting and compensation processes to ensure fairness and accountability across the organization.
Communication & Collaboration:
- Facilitate and standardize meeting cadences and communication protocols across the executive team, project directors, and other departments.
- Ensure that the teams are aligned in their goals, with clearly defined priorities and responsibilities.
- Promote effective communication both within and between teams to reduce information silos and improve collaboration.
Risk Management & Portfolio Oversight:
- Conduct regular assessments of the real estate portfolio to identify and mitigate short-term and long-term risks.
- Work with the executive team to define the company's risk tolerance and ensure that project-level risks are managed effectively.
- Establish clear guardrails, approval processes, and escalation procedures to mitigate risks at both the project and portfolio levels.
Data Management & Standardization:
- Oversee the standardization of project data, including budget formats, reporting formats, and financial models to ensure consistent and reliable information across the organization.
- Lead initiatives to consolidate real estate project data and ensure that teams have access to the necessary tools and information for decision-making.
- Develop systems to track staffing, liquidity, and financial health at the aggregate real estate level to enable more efficient management of resources.
Qualifications:
- Bachelor's degree in Business Administration, Real Estate, Operations Management, or a related field; MBA or advanced degree preferred.
- 5 years of experience in operational leadership roles, with a focus on real estate or hospitality related industries preferred.
- Proven experience in managing large-scale projects, organizational restructuring, or corporate infrastructure development.
- Strong understanding of real estate finance, project management, and risk management principles.
- Exceptional organizational, problem-solving, and analytical skills.
- Strong leadership skills with the ability to influence and manage cross-functional teams.
- Excellent communication and interpersonal skills, capable of working closely with C-suite executives and project teams.
- Ability to thrive in a fast-paced, dynamic environment with changing priorities.
