What are the responsibilities and job description for the House Manager/Personal Assistant Live-out position at Regal Domestics, Inc?
The Personal Assistant (PA) will be the primary point of contact for the day-to-day running of the home. The PA is expected to provide on-site administrative and day-to-day general support to the Principal as needed. General responsibilities include calendar and appointment management, organising and overseeing general household maintenance required, personal errands, shopping, and booking family travel, etc. They will work from the home office of the Principal’s primary residence.

General
· Preparing appropriate, efficient and timely responses to all the Principal’s requests, whether made in person, electronically or otherwise
· Managing access to employer by screening, drafting, and issuing correspondence on their behalf
· Pre-empting the Principal’s needs and acting with initiative to take some responsibility away from the Principal
· Efficient calendar planning week to week; ensuring Principal is aware of all appointments and is fully prepared. Must be able to cope with last minute changes/requests, working to pre-empt and resolve potential scheduling conflicts
· Organizing meetings requested by the Principal, creating agendas, preparing meeting materials, taking detailed and accurate meeting minutes, photos, etc. and distributing them in a timely manner to the relevant parties
· Supporting with the running of Principal’s Charitable Foundations
Assisting with projects and detailed research as required
Managing household staff and suppliers as needed; including schedules, payroll, holiday cover, new hires, grievances etc.
Keeping a record of all household expenses – preparing expense reports, monitoring spend
· Organizing and assisting with event planning if required
Property Management
· Working from the Principal’s home to oversee suppliers, contractors and various appointments as needed
· Monitoring the maintenance and upkeep of the property at all times
· Maintaining robust relationships with suppliers
· Sourcing and negotiating beneficial terms with all suppliers necessary
· Maintaining an up-to-date supplier list
· Oversight of all renovation projects and general maintenance of the residence; making the employer aware of any necessary repairs or purchases required
· Serving as primary point of contact for all emergencies and urgent questions
· Maintaining inventories as needed
· Creating property manuals and guides as needed
Family Support
· Helping with the day to day requests from other family members as needed
· Personal shopping and errand running for the Principal
· Ad hoc recommendations and bookings for hotels/theatre/concerts/art/cultural offerings/present suggestions and restaurants
· Providing reminders for key dates throughout the year (i.e. birthdays, anniversaries, medical checkups, etc.)
· Managing household/family suppliers and emergency contact lists
· Managing all necessary paperwork for the Principal and completing on their behalf wherever possible
· Organizing travel and holidays including transportation, activities and accommodation when requested
Home Office
· Ordering supplies
· Monitoring deliveries and arranging returns
· Sorting mail, separating junk
· Bringing outstanding bills to Principal’s attention for review and paying approved bills
· Managing petty cash, household budgets, and keep a record of all expenses

Requirements
· Strong command of the English language; superb communication skills, both written and verbal

· Polished, poised, and professional; strong time management skills and task prioritization
· Valid Driver’s License and legally able to work within the United States
· Minimum of 5yrs experience in roles such as; Personal Assistant, Household Management, Executive Assistant or similar
Job Types: Full-time, Contract
Pay: $65,000.00 - $80,000.00 per year
