Summary of Position :

The QI Coordinator, Medical Records reports to the Director of QI and supports the QI Nurse Medical Record Auditor in coordinating and facilitating the retrieval of medical records from provider offices for ongoing monitoring, health plan audits, and ad hoc requests from regulatory bodies. The QI Coordinator is responsible for performing non-clinical medical record reviews to ensure regulatory compliance and maintain the quality of daily QI activities. In this role, the QI Coordinator will work closely with the QI Nurse Specialist, management team, internal departments, and provider offices to promote efficient and effective QI processes that do not require clinical decision-making. Additionally, this position will support various projects as directed by the QI Nurse Specialist and the management team.

Essential Duties and Responsibilities include the following :

  • Assist the QI Nurse in conducting clinical audits by coordinating the collection and preparation of medical records from provider offices.
  • Facilitate the retrieval of medical records for audits, health plan reviews, and regulatory reviews, ensuring timely and complete submissions.
  • Organize and maintain medical record documentation, ensuring it adheres to regulatory standards.
  • Act as a liaison between the QI Nurse, providers, and internal departments to coordinate the flow of information and documentation.
  • Collaborate with the QI Nurse to ensure all documentation is accurate and complete for regulatory compliance and quality assurance.
  • Assist in preparing reports and summaries of audit findings for internal review and submission to regulatory bodies or health plans.
  • Monitor the progress of ongoing medical record audits, ensuring deadlines and quality standards are met.
  • Coordinate special projects as directed by the QI Nurse and management team, including supporting quality improvement initiatives.
  • Help implement corrective actions and follow-up audits for providers identified as non-compliant with documentation standards.
  • Provide administrative support in managing audit schedules, tracking provider performance, and organizing project deliverables.
  • Assist in developing tools and protocols to improve the efficiency of medical record retrieval and review processes.
  • Stay informed on updates to Medi-Cal program guidelines, regulations, and best practices related to medical record documentation.
  • Participate in meetings and trainings to align audit coordination with broader quality improvement goals.
  • Coordinate with providers to resolve any issues or delays in medical record retrieval, facilitating smooth audit processes.
  • Support the QI Nurse with ongoing quality assurance tasks and project management activities.
  • Maintain up-to-date and accurate documentation of all audit-related activities in internal databases.
  • Assist with the education of providers on proper documentation practices as needed, based on audit findings.
  • Maintain confidentiality and security of medical records and audit data in compliance with HIPAA regulations.

  • The pay range for this position at commencement of employment is expected to be between$23 - $25 per hour; however, base pay offered may vary depending on multiple individualized factors, including market location, job-related knowledge, licensure, skills, and experience.

    The total compensation package for this position may also include other elements, including a sign-on bonus and discretionary awards in addition to a full range of medical, financial, and / or other benefits (including 401(k) eligibility and various paid time off benefits, such as vacation, sick time, and parental leave), dependent on the position offered.

    Requirements

    Education and / or Experience :

  • High school diploma or GED required.
  • Associate's degree in healthcare administration, medical records management, or a related field preferred.
  • Minimum of 2 years of experience in a healthcare setting, preferably in a managed care environment.
  • Experience in medical record auditing, coordination, or medical records retrieval is highly preferred.
  • Familiarity with Medi-Cal programs and regulatory compliance requirements related to medical record documentation.
  • Experience working with healthcare providers, coordinating medical record collection, and supporting clinical audits.
  • Strong understanding of HIPAA regulations and the importance of maintaining patient confidentiality.
  • Skillful in MS Office programs (i.e., Word, Excel, Outlook, and PowerPoint).
  • Typing speed of 60 words per minute with accuracy.
  • Strong verbal and written communication skills.
  • Ability to work effectively with all levels of management and develop positive working relationships with various divisions within the company.
