QuickBooks experience is required to handle basic financial tasks effectively. The ideal candidate will be detail-oriented, highly organized, and proficient in Excel.
Responsibilities:
- Handle day-to-day administrative tasks such as answering phones, responding to emails, and managing correspondence.
- Coordinate scheduling for meetings, appointments, and conference rooms using Outlook or similar software.
- Maintain organized filing systems, both physical and digital, ensuring easy access to documents.
- Order and manage office supplies, monitor inventory levels, and liaise with vendors as necessary.
Document Management:
- Prepare, format, and edit documents, reports, and presentations using Microsoft Office Suite.
- Ensure accuracy and completeness of all documents and records.
- Assist with data entry, database maintenance, and generating reports using Excel.
Financial Support:
- Utilize QuickBooks to process invoices, expense reports, and financial transactions accurately and efficiently.
- Maintain records of office expenditures, reconcile bank statements, and assist in budget monitoring.
- Provide support for basic financial tasks such as accounts payable and receivable.
Excel Data Analysis:
- Utilize Excel to analyze and interpret data, create spreadsheets, and generate reports.
- Perform calculations, create charts and graphs, and manipulate data for various purposes.
- Proficiency in Excel functions such as VLOOKUP, pivot tables, and conditional formatting is required.
Communication Support:
- Serve as a primary point of contact for internal inquiries and requests, ensuring timely and accurate responses.
- Relay messages and information to relevant individuals, maintaining professionalism in all communications.
- Assist in drafting internal communications, announcements, and documentation as needed.

Qualifications:
- High school diploma or equivalent; additional education in Office Administration or related field is a plus.
- Proven experience in an administrative role, with proficiency in Microsoft Office Suite and advanced Excel skills.
- Experience using QuickBooks for basic financial tasks such as invoicing, expense tracking, and reconciliation.
- Excellent organizational and time management abilities, with strong attention to detail.
- Effective communication skills, both verbal and written.
- Ability to work independently, prioritize tasks, and meet deadlines.
- Adaptability and willingness to learn new skills as required.
Physical Requirements:
- Ability to sit, stand, and move around the office for extended periods.
- Capable of lifting and carrying up to 25 pounds of office supplies or materials.
- Proficiency in using computer equipment and office machinery.
- Ability to navigate stairs and access various areas within the office space.
Job Type: Full-time
Pay: $14.84 - $22.26 per hour
